Title: The New Lean Machine: Tech Services on a Reducing Diet

1
The New Lean Machine Tech Services on a
Reducing Diet!
  • Daphne Davis

2
New New New
  • Our libraries are the community living room but
dont kid yourself - they are also the community
book store and the community video store.
  • The pressure is on to provide new titles, new
materials, and to MARKET our products and
    services.
  • We arent the only kid on the block!

3
Workflow Analysis
  • When our materials budget increased, but our
staffing didnt, we took a hard look at our
    processes.
  • We redesigned our work area to provide more
    storage and counter space.
  • We analyzed materials and processes to see what
worked best for our new genre classifications and
    face-out shelving.

4
Optimize Turnaround!
  • Let your vendors do what they do best!
  • Use scanner technology to input data.
  • Do small set cost comparisons to find the most
    cost effective packaging solutions.
  • Repackage selectively to prevent damage to media
and minimize expensive repairs and replacements.
  • Learn to use Photoshop Elements and invest in a
flatbed scanner and a good color copier.

5
Optimize Turnaround
  • Push for RFID technology it encourages batch
    handling and saves time.
  • Use technology tools and train staff to use them
    too.

6
Vendor Automated Processing provides
  • Preloaded MARC record with attached item record
  • Attached barcode/property label
  • Mylar cover
  • Call on spine label
  • For 1.19/book!

Vendor Account Set-up
  • Ingram I-page link
  • https//ipage.ingrambook.com/ads/pdf/BOOKMARC.pdf
  • They send complete MARCs if available, and make a
    brief record if necessary
  • The cataloging dictates the calls.
  • It is necessary to designate a barcode range that
    the vendor can use.

9
Pros
  • 2 week turnaround from order date to shelf for
    books with this processing.
  • Workflow flexibility! (Records in database prior
to book arrival changes/adjustments can be made
    before receiving.)
  • Electronic receiving using a list created from
    records in database.
  • Fewer input errors because data input is digital,
    not human.
  • Fewer stress related injuries because of reduced
    handling requirements.

10
Cons
  • Youll have to change a few call s and a few
    spine labels.
  • Youll have to find full MARCs for the titles
    with brief MARCs.
  • Youll have to make some global changes to each
set of new books in the database depending on the
number of accounts you set up and what is ordered
    on them.

11
Scanner Technology
  • Our Metrologic scanners are programmed to read
    our barcodes and ISBNS.
  • Inputting data using a scanner saves time and
    input errors.

Cost Effective Packaging
  • Amy collected the data for a small set (7)
comparison for our audio book processing.
  • We found that our repackaging of audio books
saves an average of 35.00/title in the set for
    which we gathered the data.
  • (See handout spreadsheet)

Repackage Selectively
  • Repackaging provides a uniform look and feel for
patrons and can also allow you to BRAND with your
    library logo.
  • We repackage DVDs, CD books, and music CDs. DVDs
    get minimal graphics processing.
  • CD book cases - 1.63 in bulk from Blackbourn
  • Music cases - 0.52 in bulk (same vendor) made
    in the USA, btw.
  • THINpac DVD cases from Showcases - 0.73
  • for face-out display of popular genre DVDs

18
Repackaging cont
  • Our primary vendor for DVDs and music is
    BakerTaylor Entertainment.
  • We pay 0.50 to have retail shrink wrap and
    security seals removed.
  • Our library logo on the graphics is about 1.39
    we were a beta tester.
  • Patrons break fewer CDs when cases are uniform.

19
Photoshop It!
  • A low-end version of Photoshop and a flatbed
scanner are very handy for those hard to
    repackage items.
  • I just scan and resize graphics, print to color
printer and insert in a case with a vinyl sleeve
    on the outside.
  • Special treatment is less cost effective but
    looks better on face-out displays.

20
RFID
  • We put in our own tags. The price has come down
    from 0.72 t0 0.65 since we adopted.
  • For database maintenance. 3-M programming
provides error reports each time the DLA
smartcard is programmed with new data so
truncated, missing or duplicate data can be
    easily corrected
  • Global changes and deletions are performed by
scanning, uploading into the database then
    handling all records at once.

21
Computer Technology Tools
  • Tile vertically and cut and paste!
  • Make sure your staff know these simple but useful
    tools.
  • They are very helpful to for editing MARC records.

22
Database Technology Tools cont
  • Our vendor MARC records load both a bib and an
    item (or holding) record.
  • The 949 data string generates the item record in
the database with on order status.
  • If your ILS permits this, it saves a lot of time.

23
MarcEdit
  • If downloading MARCs (from vendor website) or
receiving by mail prior to database entry, use
MarcEdit to add a 949 data string to generate the
    item record.
  • MarcEdit is free and can be faster than opening
each bib record in the database and creating a
    separate item record.
