Auto Shapes/Organization Chart
  • Go to FileNew to open a blank presentation
  • Switch to the Slide Layout Task Pane and choose
    Title Only
  • In the title enter Organization Chart
  • Choose Auto Shapes Basic Shapes Rounded
    Rectangle
  • Click towards the middle of the slide and drag
    about 1 inch to the right and 0.5 inch down.
  • Make sure the box is selected and type in
    Director.

Formatting Your Auto Shape
  • Use the drawing toolbar at the bottom to select
    font color and fill color for the auto shape.
  • When changing font color, make sure that the text
    in the shape is selected
  • Make sure your shape is selected. Look for the
    3-D icon in the draw menu and select 3-D
    Settings.
  • Use the 3-D On/Off switch to turn on 3-D and
    adjust the depth, angle, and lighting to your
    preference.

Creating The Second Shape
  • Repeat the Auto Shape process to create a2nd
    auto shape. Type in Lab Chief and placebeneath
    the 1st auto shape.
  • Repeat the formatting process for the 2nd shape.
  • This time, in the fill color, try fill effects
    and add a gradient.
  • Your art work should look close to theexample
    below.

Creating The Last Set Of Shapes
  • Again, repeat the auto shape process, choose Auto
    ShapesBasic ShapesDiamond
  • Holding down the Shift key to maintain the aspect
    ratio, create a diamond about 1 by 1 inch.
  • Repeat the formatting process.
  • Again, use your choice of shadowing and color for
    the auto shape if you choose.
  • Create 5 Diamond shapes, using the Control-D keys
    to make duplicate copies.
  • If this doesn't immediately work, make sure that
    you've clicked on the shape somewhere other than
    within the text.
  • Spread the diamonds out horizontally. Dont worry
    yet about being orderly.

Alignment Of The Shapes
USE NEXT SLIDE AS A VISUAL EXAMPLE
  • Select all the diamonds with a selection box.
  • Click anywhere on the slide above the upper-left
    corner of the leftmost diamond and drag to a
    point somewhere below the lower-right corner of
    the rightmost diamond
  • Go to DrawAlign or DistributeAlign Middle
  • Go to DrawAlign or Distribute Distribute
    Horizontally
  • Go to ViewGrid and GuidesDisplay Drawing Guides
    on Screen
  • With the arrow keys, center the diamonds on the
    slide.
  • Make sure that the others are also centered.

  • Go to AutoShapesLinesLine
  • Draw a horizontal line from the left diamond to
    the right diamond. Use the Shift key to make a
    perfect line.
  • Go to DrawOrderSend to Back
  • Repeat the above for the vertical line.
  • If you choose, use the draw menu to adjust the
    colors and thickness.
  • Your art work should be close to the example on
    the previous slide.

Animating Objects
  • Go to the Custom Animation Task Pane
  • Select the Director shape
  • Click on Add EffectEntranceMore Effects
  • Choose an effect, watching for what it looks like
  • Once you have one you like, click OK
  • Do the same for the Lab Chief
  • Select all of the Techs, then go to DrawGroup
  • Now add an effect for them
  • Click on Play at the bottom of the Task Pane to
    preview
  • Click on the Group animation in the animation
    list in the Task Pane and drag it above the
    Octagon on the list
  • Change Start from On Click to With Previous
  • Click Play again to see the changes
  • If you have extra time at the end, come back and
    try Emphasis, Exit, and Motion Path effects

Creating A Graph
  • Click InsertNew Slide
  • In the Slide Layout Task Pane, switch to Title
    and Content
  • Over Click icon to add content, click on the
    chart icon
  • Highlight the spread sheet byselecting THIS CELL
    and then hit the delete key.
  • Enter the text as shownand watch the graph build
    asyou enter the data.

Creating A Graph
  • As you are creating the graph, you need to know
    the PLOT and CHART area.
  • To change the color of the series, right-click
    and choose Format Data Series.
  • To tilt the lettering, right-click on one of the
    words, select Format AxisAlignment. Grab the red
    dot and tilt to your desire.
  • Any attribute can be changed by right-clicking on
    that object.
  • Your graph should be similar to the following
    page.

Installing Video Clips
  • Go to InsertNew Slide and choose a Title Only
    layout
  • Go to InsertMovies and SoundMovie from File
  • On the desktop, a folder called Videos contains
    some movies. Navigate to it and select one to
    insert.
  • Click the Slide Show icon at the bottom left of
    the screen to see the movie play

Setting Up Links
  • Launch Internet Explorer and go to your Institute
    or Centers home page.
  • Highlight the link location (webpage address) and
    do a Ctrl-C to copy into memory.
  • Download a graphic from that page onto your
    desktop.
  • Right ClickSave Image As (Dont forget the
    directory you saved to).
  • Go back to PowerPoint and insert the graphic into
    your slide.
  • InsertPictureFrom File
  • Move and re-size if necessary.
  • Right click on the graphic and choose Action
    Settings.
  • Choose Hyperlink To
  • Choose URL and do a Control V to paste in the
    link to that home page.
  • This is the Control C you did on the 2nd step.
    (Hint.. The URL must include http// )
  • Choose OK and OK again.
  • When you launch the slide show, select the
    graphic and it will open the URL that you
    selected.
  • Optional exercise -- create another link with an
    Auto Shape to another presentation or to the
    beginning or your presentation.
