  • This webinar will provide instruction in using
    the mandatory SES Data Collection System

Lets Get Started
  • Todays webinar is an introduction to the new SES
    Data Collection System and a tour of the roles,
    screens, and tasks associated with the system.
  • This is conducted on a facsimile website.

Official Login and Password
  • You will receive information about how to get
    your login and password for the actual system at
    the END of the presentation.

What is the purpose of the data collection system?
  • This system will lessen the data collection
    burden on both schools and SES providers while
    preserving the integrity and timeliness of data
    needed for evaluation of SES, state reporting and
    federal reporting.
  • Using this data system is mandatory for both LEAs
    and SES providers. There is no alternative data
    collection system approved for use in Arkansas
    public schools.

  • You still must have students sign in each day
    when they are tutored. These daily sign in sheets
    are the verification of your monthly invoice.
  • If there are discrepancies between the invoice
    and sign-ins, providers and schools will need to
    work out the issue. That is not the ADEs purview.

SES Reports
  • This is only available to the ADE Staff
  • This information is used to respond to state and
    federal requirements or to provide information
    required for the evaluation of SES in Arkansas.
  • ADE is charged for each report run, so do not
    call and ask me to run reports for you. I will
    run reports quarterly and distribute relevant
    information to the LEAs and providers.

SES Maintenance Option
  • This option allows for maintenance of SES
    School, Evaluator, Tutor information, and loading
    Benchmark Data

USERS
  • This is the information about login and password
    access. You cannot get this access yourself. You
    must go through my office to be added to the
    system.
  • There is a limit of four (4) users per LEA and
    four (4) users per Provider

Exit
  • This is to log off from the system.
  • Do not leave the system open if you are not using
    it. Log off if you are going to run down the
    hall, or get a cup of coffee, or dash off to a
    meeting.
  • It only takes a second to log off and log back
    on. Remember that personal and confidential
    information is housed in this system.

How do I get access to the SES data collection
system?
  • Each user (both school and provider) will be
    assigned a unique user name and password.
  • Those user names and passwords come through my
    office. You will not be able to log in until you
    receive your user name and password.

How do I get a password?
  • Email me the name of each person in your
    organization who will be responsible for entering
    data into the system.
  • There is a maximum of four (4) users per school
    district or provider.
  • My email is Polly.davis_at_arkansas.gov

Login and Passwords for LEAs
  • EMAIL me with the following information
  • First, middle, and last name of each person for
    whom you are requesting access to the system
    (Maximum 4)
  • Each persons school email address
  • The full correct name of the LEA and the LEA
    number (7 digit) of the person being granted
    access.
  • Contact info for an administrator at the LEA who
    can verify that these persons should be granted
    access

Login and Passwords for Providers
  • EMAIL me with the following information
  • First, middle, and last name of each person for
    whom you are requesting access to the system
    (Maximum 4). Each persons company email address.
  • The full correct name of the Provider and the
    Program name if different
  • Contact info for someone who can verify that
    these persons should be granted access

  • Once your userID and password are assigned, your
    access has been verified, and you have been
    entered into the system, you will be notified
    directly.
  • The first time you log onto the system, you will
    be instructed to change your password. You must
    change the password when prompted.
  • Remember your password. Write it down and keep it
    somewhere safe. Remember where you put it. Your
    password is your responsibility.
