Taking online payments
  • All clubs are encouraged to make use of the
    Unions online payment system
  • Money is guaranteed and taken instantly
  • System gives a detailed order breakdown
  • 1 charge per transaction
  • Money is held in internal private accounts
  • Account numbers all start 99XX
  • These accounts are easy to keep track of
  • Can be used alongside or instead of your Natwest
    accounts

Where to Buy Clothing From
  • Tempest are the AUs official stash supplier
  • Orders made through Dave in the AU Office
  • Sponsor the AU based on sales
  • Sponsor AU events such as the Ball
  • Sponsor Daves salary!
  • Offer clubs 7.5 cashback on all orders
  • Not exclusive
  • Prices include 2 embroideries and a stitched
    name/nickname

Ideal Timeline for Ordering Clothing
  • Get designs/samples/quotes
  • Use the online payment system to take orders and
    money
  • Make your final order
  • Clothing is delivered to AU Office
  • Check and distribute to your members
  • Invoices are paid

Initial Stages
  • Speak to someone in the AU Office
  • For playing kit the AUs Colours are white and
    maroon or black and maroon and the AU Logo must
    be displayed
  • Keep EVERYTHING in writing record all
    agreements made save/copy all email/fax/post
    correspondences
  • Do not pay for or order any kit until you have
    collected money
  • Be aware that not all companies include VAT in
    the price they quote be sure to ask the company
    and be sure to include VAT in the price you
    charge your members
  • There is nothing stopping you making a bit of
    profit from stash sales which can then be used
    for any club activities/developments you wish to
    pursue

Collecting Money
  • Collect money using the online payment system
  • Contact Dave to have the products set up online
    on the E-shop
  • Shop can be used for specifying sizes, colours,
    etc
  • Send a link to your members so they can login and
    purchase clothing

Making Your Order
  • Get a report of what has been sold online
  • Add information such as names/numbers to be
    embroidered on clothing
  • Check through your final order and send it to the
    manufacturer
  • Make a note of the date the manufacturer receives
    your final order important for their contracted
    delivery times

Paying the Bills
  • Get the manufacturer to invoice your club at the
    AU address
  • Attach the invoice to a green claim form, fill in
    the details, sign it and hand it in to the AU
    Office
  • The AU will then pay the invoice out of the money
    you have collected through online payments

Final Thoughts
  • Please come and speak to the AU staff when buying
    equipment/kit or organising events we deal with
    lots of companies throughout the year and can
    give you some good advice.
  • Get all agreements in writing, from the specifics
    of the equipment/kit (colours, sizes, price)
    through to the expected delivery date.
  • Double check everything on delivery and keep a
    record of the equipment you have at any time.
  • YOU are responsible for maintaining your
    equipment do not take this lightly as there
    could be serious health and safety implications
    as a result of poor maintenance of kit.
