Evaluating the SAE
  • Every year the teacher and student should jointly
    evaluate the SAE program. This serves to
  • Recognize past accomplishments
  • Determine if adjustments and improvements need to
    be made in the SAE program
  • Help plan for future SAE activities

Evaluating the SAE
  • This annual evaluation doesnt have to be
    cumbersome or complex.
  • Simply sit down with the student (it would be
    great if parents and/or employers could be
    involved) and
  • Review the record book
  • Ask a few pertinent questions

When to conduct the evaluation!
  • At one time the simple answer was in early
    January. After the students returned from winter
    break they closed out their record books for
    one calendar year and started the new record
    books. This was the appropriate time for the
    evaluation.
  • With many schools on block scheduling the
    evaluation time may need to change.

Block Scheduling Evaluation
  • With students on block scheduling the conference
    may need to held near the end of the fall
    semester in December or near the end of the
    spring semester in May. A lot depends upon the
    future agricultural education and FFA plans of
    the student and his/her agricultural course
    taking pattern.

What to do during the evaluation!
  • Review the record book
  • compliment the student for his/her
    accomplishments
  • determine what changes need to be made in the
    future to improve the SAE program. This is best
    accomplished by asking questions.

  • Plan for the future
  • Discuss plans for expanding and improving the SAE
    program.
  • Discuss possible FFA proficiency awards the
    student should keep in mind

Closing-Out the Record Book
  • Once a year the SAE record book should be
    closed-out. This simply means we take a
    financial reading. at a specific point in time
    to see how we are doing.

When should we close-out?
  • Many businesses operate on a calendar year basis
    (Jan. 1-Dec. 31). These businesses close out
    their books on December 31. There are exceptions.
    The financial year for the Federal government is
    from Oct-Sept.
  • The National FFA recommends that SAE financial
    records also be on a calendaryear basis.

Short-year vs. long-year
  • If you have a new student in agriculture who is
    really gung-ho and starts an entrepreneurship SAE
    in September that will continue for 12 months,
    when does he or she close out their record book?
  • Dec. 31 of that first year (covering only 4
    months) or
  • Dec. 31 of the following year (covering16 months)

Closing out the Record Book
  • If the record book is closed out in December of
    the first year--this is called a short year.
  • If the student wants until December of the second
    year--this is called a long year.
  • Either process is acceptable but it is easier
    filling out FFA applications down the road if the
    long-year convention is used.
