Training Development Tool
  • Training content will be developed using Oracles
    UPK (User Productivity Kit ) tool. UPK is a
    content development platform that provides the
    following benefits and outputs
  • Create and deliver documentation, simulations,
    and in-application performance support.
  • Produce multiple outputs through a single
    recording session for all phases of the project
    lifecycle from test scripts, system process
    documents, and interactive simulations to job
    aids, instructor manuals, and in-application
    performance support.
  • Provides a collaborative development environment
    to create system related documents - which are
    used throughout the project lifecycle.

UPK Structure and Usage
  • UPK developed content is organized by
    modules/lessons/topics.
  • PeopleSoft HRMS modules (Core HR, Time and Labor,
    Benefits, Absence Management, and Payroll) are
    grouped separately but within one library.
  • Each module can contain several logical lessons
    and each lesson can contain several related
    topics.
  • Users will have the ability to use training
    created through UPK anytime for refresher
    training by accessing the CoV - VCCS Knowledge
    Center.
  • Based upon a users job function (role) they can
    select a topic relevant to them, thus eliminating
    to audit an entire module (course).

Content Development Process Summary
  • The training development process in the UPK
    starts with recording of the application
    processes and finishes with the publishing of the
    recorded content.
  • This published content is used to provide online
    or instructor led training using the UPK player
    package.
  • The published product also generates job aids,
    training manuals, instructor manuals, and
    end-user test scripts.
  • Whenever a business or a technical process change
    takes place, the process needs to be re-recorded
    and published. This publishing process will
    automatically update previously generated outputs.

Content Development Steps
  • The steps below describe the training content
    development process
  • Record PeopleSoft processes in UPK using the test
    scripts when available or from personal
    knowledge. This will generate basic recording and
    capture all steps that a user will perform to
    complete an activity.
  • Enter the PeopleSoft knowledge elements by
    utilizing delivered content from Oracle and
    consultants knowledge of PeopleSoft HR. This
    will educate the user on field functionality,
    rules for using the fields. and an explanation as
    to when and how a field value should be entered.
  • Add information to the recordings based on
    personal knowledge and leveraging repository of
    other past similar work.
  • Review recorded information with the functional
    team to validate accuracy of the functionality at
    VCCS and enter additional business process
    related information.
  • Review recorded information with a subject matter
    expert to validate accuracy of the functionality
    at VCCS and enter additional operations related
    information.
  • Review recorded information for quality
    acceptance and accuracy.
  • Publish content.

Training Schedule Locations
  • Training is currently scheduled to be conducted
    over a 5-week period from early February thru
    March 14, 2011
  • Each of the 4 regions will be allocated one week
    for training
  • Northern Region
  • Central Region
  • Eastern Region
  • Western Region
  • Additional regional training will be given based
    on need/class registrations
  • Class schedules and registration will be posted
    in the CoV Knowledge Center

Note Regions in bold are the current hosting
sites. Due to its size, Region 3 will have two
concurrent sessions taking place.

Proposed Training Schedule High-Level
  • Actual number of sessions will be determined by
    the number of users per region. Some regions may
    require two or more sessions for some of the
    modules.
  • Additional sessions will be delivered either
    during the assigned week for the region by
    utilizing an additional training team or during
    the backup session week.

What You Can Do at Your College
  • Ensure information from the training team is
    relayed to appropriate staff and faculty at your
    college
  • Help us validate the total number of staff
    requiring training at your college
  • Ensure you register and attend the appropriate
    HRMS classes to position you to provide refresher
    or new employee training for your constituents
    (as needed)
  • Continue to provide suggestions recommendations
    to the HRMS training team to improve training
    delivery
