    with your organizations that this a common

ACCESS LISTS
  • Organizations with office space or filing/storage
    bins
  • Updated access list to the CSAI front desk for
    members you want to have access to your space
  • Members will be asked to show a GATOR 1 to gain
    access
  • Mailboxes and Filing/Storage can only be accessed
    by the President of the organization without the
    key

AFTER HOURS ACCESS FOR OFFICES
  • Executive Officers may gain access to the Center
    while it is closed by providing Laurie Hoopaugh,
    Office Manager for CSAI, an executive officer
    list at laurieh_at_union.ufl.edu
  • To gain after hours access to office, please go
    to the Reitz Union Information Desk on the 1st
    floor. The student assistant will radio for a
    night manager to assist you-YOU MUST HAVE YOUR
    GATOR 1 to get in!
  • FOR YOUR SAFETY AND OTHERS DO NOT PROP OPEN ANY
    OF THE DOORS TO THE CENTER! 300 OR 330!

AFTER HOURS ACCESS CONT.
  • After Hours Access should only be for executive
    officers to conduct business or meet in your
    office.
  • You must stay in your office space if you are in
    after hours-conducting meetings or interviews
    after hours is not allowed in the common space.
  • PLEASE note conducting interviews after hours
    will not work as you will not be able to prop
    open doors. Please make a room reservation if
    you are planning on holding interviews after
    hours.
  • PLEASE do not abuse this privilege!

SPACE
  • Space is allocated through the Reitz Union Board
    of Managers
  • Organizations must apply for space each year
  • Applications for 2009-2010 space will be
    available in late November please check your
    email for details
  • Student Organizations must be registered to apply
    for space as well as to keep their space!
  • Deadline for registration for 08-09 has been
    extended through September 29th

  • Wireless Internet
  • 3 conferences tables for space for members to
    meet
  • Type writer
  • Paper cutter
  • Paper and Plastic bottle recycles containters
  • Reservations for banners for Plaza the Americas
    or North Lawn-front desk
  • IDEAL Involvement Ambassadors room 330

MAILBOXES
  • Can be accessed only when the Center is open!
  • Only to be used for organization business
  • Cannot be used for receipt of perishable good,
    chemicals, flammables, or dangerous/illegal goods
  • In the event the item will not fit in mailbox the
    president will be notified to pick up the item at
    our front desk. If the item is not picked up in
    two weeks you will receive another email
    notifying you the item has been returned to
    sender!

STORAGE/FILING Cabinets
  • Can be accessed only when the Center is open!
  • Cannot be used for storage of perishable good,
    chemicals, flammables, or dangerous/illegal goods
  • No markings can be made to the space i.e. no
    stickers, paint, writing etc!

CUBICLES
  • Accessible only during Center hours
  • This is a work space-do not use it as a storage
    closet
  • Be a good neighbor-items in cubicle must not
    stand any taller than cubicle and no items can be
    paces on top of the partitions
  • All items left on floor must fit under the desk
    neatly

OFFICES
  • Accessible only to members on access list during
    center hours. Student Assistants will check
    GATOR 1 and then open door! There are no keys
    given out!
  • Items CANNOT be posted on doors-seriously this
    year!
  • Items cannot be hung or posted on your window,
    inside or outside!

OFFICES CONT.
  • Please keep your floors as clean as possible so
    routine cleaning can be done!
  • No construction, renovation, driving of nails or
    screws can be done if your space
  • All maintenance requests/concerns should be sent
    to Laurie Hoopaugh, Office Manager at
    laurieh_at_union.ufl.ed
  • Office logs will be turned in on the 1st of every
    month for the pervious month starting October
    1st!

COMPLIANCE
  • Please note that all policies and regulations
    regarding space will be followed
  • Warning emails will be sent when necessary to the
    president of the organization-please respond in a
    timely fashion to the request
  • Any organizations that fails to comply with
    policy or agreement could loose their space
  • Any questions regarding the policy and
    regulations can be directed to Laurie Hoopaugh or
    myself at sarahc_at_union.ufl.edu or at 352.392.1671
    our student assistants are a HUGE resource

    and Involvement!
  • CSAI in conjunction with Student Government will
    be hosting an open house Tuesday from 11-2,
    please be prepared for a large number of
    additional guests in the space!
