1Passport Navigation Tutorial
The following instructions will help you to
navigate through the Passport system . The
instructions have been designed as a step by step
guide to help you as you go through the budget
system.
Passport is a secure, multifunctional, web-based
system that Student Government Administrative
Services has designed to enable AS funded
organizations and their Financial Officers one
stop shopping for all their budgeting needs.
These services include applying for a budget and
becoming certified as a financial officer for
your organization.
2To begin your Passport experience you must login.
If this is your first time using the program
you must register as a New User.
If you are a new user, click here to begin.
3The next step is to enter your personal
information. Please be sure to enter an email
address and phone number that enables us to reach
you in case we have a question or if there is a
problem. Once registered, you will be able to
update your information as needed.
Please contact us if you have any questions.
4It will take about 3 business days to accept your
user request. Please make sure that your club
has you updated as an officer with Office of
Student Organizations (their phone is 974-7912).
5Once you sign in this is the first page you will
see. To begin your budget request or to
change/edit an existing request, click on
Budgeting.
Click Budgeting to begin
Notice your default organization will be listed.
Make sure you select the correct budget year.
6Once you have clicked Budgeting a drop down box
will appear. You have the choice of creating a
new request, viewing/editing a request, or
prioritizing your requests.

New Project Request
7- Project requests are for requesting money
for anything other than travel. Please be aware
that each project requires multiple steps. The
Activity and Service Recommendation Committee
will be looking at your requests when allocating
funds, so please provide them with a thorough
project description.
After finishing the first step, you can access
the other steps by clicking NEXT
8- Passport can provide you with
previous year budget requests and allocations
(change the budget year on the at-a-glance page,
and then view the budget report from that year).
SGAS can provide you with printouts of previous
year transactions Marshall Student Center room
4300 or sgas_at_admin.usf.edu. - Step 3 is where you include each item that will
be needed for the event/project (i.e. food,
office supplies, WBUL DJs, Marshall Student
Center audio/visual). Please provide a detailed
item description for each material needed.
9Once you have entered each item needed for your
event/project, you will then submit the request
as complete.

10 You will see this message when you complete
your project request.
11To make changes to a project click on Budgeting
and then on View/Edit Program/Project.
Please be aware that the Recommendation
Committee con only see requests that are
completed.
Select the project you would like to edit.
View/Edit Projects
12Once you have completed all your project requests
you must prioritize them before you submit your
entire budget as complete. Click on Budgeting
then Prioritize Projects
Prioritize and Delete Projects
Once you prioritize your projects you must click
Update Priorities or your changes will not be
saved.
13Travel requests are submitted similarly to
project requests. Once completed, they may be
edited at any time.
Travel Requests
14Please read carefully not all boxes will need
to be completed in the Transportation section
depending on your type of travel. When you are
done, click Create Request. Dont forget to
prioritize all of your travel requests!
You may need more than one type of transportation.
Submit your request as complete once you finish.
15At any time you may click Budgeting then
At-A-Glance to see a summary of your budget
request.
16Once you have finished adding all projects and
travel requests, set them as complete and
prioritizing them all, you will need to Submit
Budget as Completed. Requests that are not
submitted will not be reviewed.
The last step is to submit your budget
as Completed! SG will not be able to see any of
your requests until you click this button.
17As your personal information changes please
remember to update your user profile. If this
information is incorrect it may delay important
time-sensitive information you need as a Passport
user.
18You are now ready to create your budget request
on Passport! Click on SG Passport to get
started. 09-10 Budget Requests are due on
