On your internet browsers toolbar, make sure
your pop up blocker is turned off. On the Banner
General Menu page, click on the Bookshelf-PDF
Reader link.

Click on I Agree when license agreement appears.

Click on the plus sign () by Banner Finance to
expand the menu.

Click on User Guide.

Click on Reports and Processes.

Find the General Ledger Module in the index. For
our example, well look at the Budget Status
(Current Period) Report. This is Banner report
name, FGRBDSC. Remember to write down the report
name. Youll need the name to navigate to it in
Banner. Click on the report name to view the
description of the report.

View the description of the report. This
particular report displays adjusted budget,
current and year to date activity, budget
reservations and the available balance for each
account. The description also gives you which
fields or parameters you will need to provide to
run the report. You can use this report for funds
or organization codes.

You can also specify which accounts you want to
include or leave this parameter blank to view all
accounts. You can select the As of Date and
whether to display report totals.

The next page shows a sample report. To Return to
the main index for reports, click on Reports and
Processes in the left bookmark pane.

To exit the Bookshelf, click on the X in the
upper right corner.

Type the name of your report in the Banner Go To
box. FGRBDSC is the Budget Status (Current
Period) report. Press the enter key on your
keyboard.

The Report name will populate in the first key
block. Click on the next block icon.

Under Parameter Values, you can enter which
values you want displayed.

Enter the fiscal year with the last two digits of
the year. The chart of accounts will always be
equal to V (for VCU). Make sure you enter a
capital V. Specify a fund or organization code.
You can also specify a range of funds or org
codes. In this example, we are specifying one org
code, so we have entered it in both the From and
To box.

Leave From Account Code and To Account Code blank
to see all the accounts in the organization.
Enter the As of Date. Use the format noted
(DD-MON-YYYY). Enter Y or N for Include Accrual
Period. Enter Y or N for Print Report and Net
Totals. Under Commitment Type Indicator, leave
the field blank. VCU does not use this feature.
Click on the next block icon.

You will enter the Submission key block. Check
Save Parameter Set as. On to the toolbar, click
on the Save icon.

A pop up window will appear with the message
Saving current parameter values as user level
defaults. Click OK.

A successful submission will give you a log file
and list file number at the bottom of the screen.

On the Toolbar, click on Options, Review Output.

Click on the drop down arrow next to File name
and the output files will appear in the window.
The file ending in .lis is the report. Double
click on that file name.

The report will appear in your window. You can
use the vertical and horizontal scroll bars to
navigate the report.

To save the file as text for an Excel
spreadsheet, click on Options, Show Document
(Save and Print File).

When asked if you would like to continue, click
on Yes.

The report will appear in a new window. From the
toolbar, select File, Save As. Name the file and
save as a text file to import into Excel.
