New Adult Applications
  • New adult applications are available now!
    (English, Spanish)
  • Old applications are no longer valid to use.
    (effective 8/1/08)
  • New applications must be signed by applicant in
    both places.

  • IMPORTANT NOTE If adults in your unit received
    a CBC letter in June from National BSA and did
    not log on to the website or complete the
    authorization process, they will not appear on
    your roster. They MUST submit a completed adult
    leader application which includes the signed
    disclosure and authorization statement.

    for the C.P.C

Online Renewal
  • IMPORTANT If your Chartering Organization or
    Executive Officer is changing, please contact the
    Registar at the Council Office BEFORE you begin
    the charter renewal process. Changes must be
    made by council staff before you can start the
    charter renewal.

Timeline
  • (date) Charter renewal training
  • (date) Charter turn in (s)
  • (Nov 16th) deadline for all charters to be
    completed and back to the District
  • Problem with dates? Call your District
    Commissioner to make other arrangements!! (Must
    be in by Nov 16th)

Paper Renewal
  • The following sections apply only to the paper
    version of charter renewal.
  • Primary Method is Online Renewal !

Where to Begin?
  • Confirm all current information on youth and
    adults (birth date, address, zip code, phone
    numbers, area code, grade, etc).
  • Adult training must be updated using a completed
    training roster (See your District Training
    Chairman).

Where to Begin?.......
  • Obtain completed applications for all youth and
    adults NOT on current printout, including adults
    changing or adding additional units . LDS wards
    may have up to 4 units. (Dont forget signatures)
    .
  • SS is required on all adult leader applications.
    (Don't commit fraud, use your real SS)

Boys Life Magazine
  • Subscription is optional, BUT highly encouraged.
  • Most people would like to subscribe, but cant if
    they are never asked.
  • 12 quality magazines for 12.00
  • Ribbon (provided by national) for Unit flags and
    segments (purchased from Scout Shop) for youth
    when 100 of the families in a unit receive Boys
    Life subscriptions.

Instructions.
  • Instructions to renew a charter have been
    included in the packet. And can also be found on
    the council website.
  • Even if you have done this before, please take
    the time to read!
  • Changes for renewal take place yearly, as the
    Scouting program is updated.

Youth Information
  • On worksheet, draw a single line through any
    youth who are no longer active in YOUR unit, and
    verify ALL information of remaining youth.
  • If a youth is NOT on the worksheet, you will need
    a new youth application (unless it was very
    recently turned in). Adding a photocopy of the
    units copy can be helpful.
  • Youth who are NOT on the worksheet, must be on
    the overflow sheet. (NOTE Internet renewal will
    not have an overflow sheet, new applicants will
    appear on the first page of the charter renewal
    printout).

Adults.
  • On worksheet, draw a single line through any

Adults.(cont)
  • Each Unit must have EO, CR, CC, Unit Leader (CM,
    SM, VC, NL, SK), and (2) MCs MINIMUM. (NOTE A
    Pack Trainer counts as an MC).
  • For Cub Scout Packs, you must have a TL, DL or
    WL. It is recommended a pack have a leader for
    each level that youth are involved in.

Multiple positions...
  • If an adult has positions in more than one unit,
    decide on a primary (paid) position and circle
    all other positions to indicate multiple
    registrations (paper version). If they have
    their primary registration with another unit, or
    with the district they are a multiple in your
    unit. There is a fee for each primary position,
    but there is no fee for a multiple position.
    When circling a position as multiple you MUST
    indicate where the primary (paid) position is
    held (unit or district)

More about multiple positions...
  • Within one unit, each position must be held by a
    different registered adult.
  • The ONLY exception to this is that the CR can
    also be the CC or MC.
  • There are no other exceptions adults who are the
    CM, DL, WL, TL, SM, SA, etc., MUST choose ONE
    POSITION!
  • The Executive Officer may hold a unit position,
    but must then fill out an adult leader
    application and pay the registration fee. This
    would not be considered a multiple position.

Multiple positions (LDS)...
  • Many LDS Wards have adults who serve in multiple
    positions within their various units(up to 4).
    There is a worksheet to help you keep track of
    these leaders. This worksheet is a TOOL for you,
    and is very helpful to the registrar. Please use
    it, and include it when turning in paperwork.
  • If the adult is not printed on the charter for
    the various units(up to 4), this new position
    will require an adult leader application with
    appropriate signatures.

Multiple positions (youth)...
  • Yes youth sometimes have multiple registrations.
    For instance, if a boy as a youth is in a troop
    AND a crew, he does not need to pay twice. One
    is his primary (paid) and one is his multiple
    registration.
  • A youth (age 18-20) registered in the Venturing
    program (crew or ship) may also register as an
    adult in specific pack or troop positions, but
    are required to pay in each as a primary
    registration.

Multiple positions (youth)...
  • Posts and Groups pay a participant fee, they
    CAN NOT multiple to or from a traditional unit.
    Exploring and Learning for Life are a separate
    division of the BSA.
  • Youth and adults may also register in a
    traditional unit, but must submit the appropriate
    forms and fees.
  • Keep in mind that each non-LDS unit needs a
    minimum of 5 primary (paid) youth members.
  • A youths advancement status is not impacted by
    registration status (primary or multiple).

Money, Money, Money
  • The fee for registration with National BSA for
    youth and adult leaders is 15.00 per year. This
    will register them for the year 2010.
  • When youth or adults are registered in more than
    one unit (multiple), they pay only once where
    their primary registration is held.
  • There is no fee for the Executive Officer (unless
    he or she holds an additional position).
  • Boys Life is 12.00 for 12 issues.
  • 20.00 charter renewal fee.
  • Prorate necessary fees (B.L Registration x
    additional months for current year) See guide for
    rates.

Pay now or later?
  • For LDS units, the Stake is billed for everything
    EXCEPT Boys Life. LDS families must pay if they
    opt to subscribe. Boys Life fees and the
    subscribers name(s) must be included when LDS
    charters are turned in.
  • Many LDS families would like to subscribe, but
    are not asked. Wont you please give them the
    opportunity!

Coming down the Homestretch...
  • Update information on top portion of worksheet
  • meeting time and place (write in)
  • Appropriate Signatures
  • Fill out unit checklist for charter turn in
  • Fill out Executive Officer Information Sheet if
    there has been a change.
  • Make sure you have the signature of the Executive
    Officer at the top, and the Unit Leader sign at
    the bottom.

  • National Summertime Pack Award Unit Camping Log
  • Can be turned in with the charter or may be
    turned in later.
  • Unit Survey (gotta do it - gotta turn it in!)
  • FOS Chair info. (will default to CC if not turned
    in)
  • Accident Insurance (pay directly to insurance
    company).
  • Pack Growth Coordinator info (Non LDS Packs).

A note about signatures
  • Please be trustworthy as you seek signatures for
    the Charter Renewal Worksheet, Annual Charter
    Partner Agreement.
  • The Unit Leader, Executive Officer, and District
    Executive are asked to sign in the various areas
    for good reasons. These are important documents
    and should be handled as such.
  • Dont forget appropriate signatures for the Adult
    and Youth applications.
