Folder Me This Using Oracle Folders
  • Definition
  • Setup Issues
  • Navigation
  • Creating Custom Folders
  • Customizing Your Folder
  • Using Queries
  • Questions

5
Definitions
  • Oracle Applications allows the user to change the
way data is presented with the use of Folders
  • You can hide or display data, arrange the data
columns and also export that view.
  • Folder views can be used for data updates and
conform to all Oracle validation rules.
  • Folders do not change the table structures.

6
Definitions
  • Customize a folder to retrieve just a subset of
records and display those records in a different
    layout
  • Save your customizations as a folder which
defines the layout of your fields and the query
criteria used to retrieve your subset of records
  • You can distinguish between a custom default
folder and the original by the fact that a
default folder definition always displays its
name next to the Open Folder button

7
Setup Issues
  • Set Profile option Folders Allow Customization
    to Yes
  • If the profile option is set to No, you cannot
create or customize folders. The only item
available from the folder menu is Open.
  • Folders are associated with specific languages.
For example, a folder created in English cannot
be accessed when running the applications in
    German.

8
Navigation
  • Standard Item view
  • Data is presented in a tabbed view based on
    related functional grouping
  • Notice the folder on the left side of the form

9
Navigation Continued
  • Folder View
  • Limited Information Displayed
  • Requires scrolling to see other data
  • When you navigate within a Folder area, the
Folder Tools button gets enabled on the toolbar.
  • 2 ways to display the Folder Tools on the screen

10
Folder Tools
  • Commonly used Folder Menu items.
  • Open Folder
  • Save Folder
  • Create New Folder
  • Delete Folder
  • Widen Field
  • Shrink Field
  • Show Field
  • Hide Field
  • Move Left
  • Move Right
  • Move Up
  • Move Down

11
Folder Tools Continued
  • Clicking on the folder icon will pop-up the
    folders tools.
  • You can position this on your screen and is a
handy way to make changes to your folder.
  • You can do almost everything that you can with
    the pull-down menu.

12
Creating A Custom Folder
  • In this view, perform a Save As, using either
the pull-down or pop-up folder tool.
  • Save As will require you to name your folder as
    well as assigning other attributes.

Note Folder has no name
13
Creating A Custom Folder Cont
  • Enter a folder name.
  • Determine how you want Autoquery to work.
  • Determine if this folder should be made Public,
    or Default
  • Determine if you want the query included.

14
Customizing Your View
  • Columns you can hide, show, resize and position
    columns.
  • Hide columns that you do not need to see.
  • In this example I will hide the long description.
  • Use either the pull-down or pop-up tool.
  • Put your cursor on the column you wish to hide
  • Click on the Hide icon.

15
Customizing Your View
  • The long description is now hidden.
  • The next step is to Change Column Name
  • Using the pull-down menu, we can change the name
of Primary Unit of Measure to UOM.
  • Type in the name you wish to use. (Note this
does not change the actual column name, only the
    view used for your folder.)
  • This allows us to shrink the field (column) and
    therefore display more data.

16
Customizing Your View
  • Move columns you can move (position) in 3 ways.
  • Using the left and right arrows
  • Dragging the column either left or right, or
  • Using the pull-down to move columns. Put your
cursor on the column you wish to hide

17
Customizing Your View
  • User Item Type has been moved to the left of Item
Status and Primary Unit of Measure (UOM)

18
Customizing Your View Show Fields
  • Show Fields gives you the ability to display
    additional information in one view.
  • In Oracles Items view, that additional data is
any information that is shown in the tabbed
    view.
  • Determine your needs and then start adding those
    fields to your view.
  • You can use either the pull-down menu or the
    pop-up folder tool.

19
Customizing Your View Show Fields
  • Show Fields will bring up a LOV.
  • Select the field from the list and click OK.

20
Customizing Your View Show Fields
  • Show Fields in this slide you can see the
Default Buyer. That was added to the folder.
  • In this example, I choose fields
  • Default Buyer and List Price (Purchasing Tab)
  • Processing Lead Time (Lead Time Tab)
  • Minimum Order Qty (General Planning)
  • Save your changes

21
Customizing Your View Show Fields
  • View with the additional fields displayed
  • This view also displays all items for default
    buyer Smith.

22
Customizing Your View Queries
  • In the folder view you can also run queries.
This can be done using F11 to enter query mode
and CTRLF11 to run the query.
  • In this example I will run a query looking for
Buyer Smith and a List Price greater than 10.

23
Customizing Your View Queries
  • Results of the query displays the all the items
for buyer Smith that are greater than 10.
  • If I were to save my folder now, the query would
also be saved as part of my folder parameters.

24
Customizing Your View Queries
  • Viewing your folder queries.
  • Using the pull-down folder menu you can
  • View the folder query. Path FoldergtView Query
  • Reset the query. Path FoldergtReset Query
  • Remember, if you had your folder setup as an
AutoQuery, then that query will be run every time
    you open that folder.

25
Customizing Your View
  • Open Folder
  • After saving your folder, you can open your
    folder in the following ways.
  • Click on folder Icon, use the pull-down menu or
use the folder tools form the pop-up and then
select your folder from the LOVs.
  • The LOV will display all public folders as well
    as your folder.
  • Your folder will be displayed only to you if it
    is not made public.

26
Folder Me This.
  • Tips and Ideas
  • Use folder views to export data and create user
    reports.
  • Use folder views to update data (in my example
of purchasing, we could have used that view to
update the buyer, list price and lead times.)
  • Use dataload (http//www.dataload.net) tool on
folder view for simplified data updates.
  • Other Folder Opportunities
  • Order Management Order Organizer and Orders
  • Planners Workbench Supply Chain Planning, MRP
