- Information Needed
- Vehicle ID

6Step 2 Owned Vehicles Resources
- Most owned vehicles are listed in DENRs Property
database. Use VehicleAssets.xls file as an
additional resource - Vehicles with DOT key cards are listed in
DOT_Specs-On_DENR_Owned Vehicles.xls. Use this
file as an additional resource. - Contact your budget officer
- Mention the DENR Petroleum Displacement Plan,
Fuel Card Vehicle spreadsheet, or any other
vehicle documentation they may have - Note You must include ALL vehicles that consumed
fuel in 2008!

- Enter Information into Owned_Vehicles.xls!

(Owned_Miles.xls)
- Mileage data can be located from your divisions
accounting staff - Note You only need the odometer reading around
January 1, 2008 and December 31, 2008. The
difference is the annual miles driven. (Monthly
data are optional)

(Owned_Fuel.xls)
- Data For Vehicles with DOT keys that purchased
fuel from DOT stations are already listed in your
table. - Note You need to add any other fuel purchased
from commercial stations and/or on-site pumps.

- Information Needed
- Vehicle ID
- MFG Year
- Zip Code
- Make/Model
- Engine Size
- Fuel Type
16Leased Vehicles
- Most leased vehicles from Motor Fleet are already
listed for your division. - Add/Delete vehicles to ensure list is accurate
for 2008. - Some divisions lease vehicles/equipment from
other agencies. List these in the same manner.

- The same resources used for owned vehicles may be
used to fill out the specifications.

Records(Leased_Miles.xls)
- DAQ has already processed mileage data from MFM
database. - Verify these records are correct and make
adjustments as needed. - If the vehicle is leased from other agencies, add
the data. - Note Monthly data are optional.

- If your division tracks fuel records for leased
vehicles, enter the data. - Note Monthly fuel records are optional.

- ElectricityRecords.xls, using ElectricityInvoices.

- Vendor Number
- Vendor Name
- Service Address
- This information can be found using
ElectricityInvoices.xls. For any missing
information, contact your Budget Officer. He/She
can help you acquire the actual electricity
invoices.

- This information can be found under the
Owned_Bldgs Tab and Leased_Bldgs Tab. If there
is no gross square feet associated with the
Building, then leave it blank.

need to be cross-referenced with the service
addresses in order to figure out the Building
Asset ID and Building Name. Note Some of your
buildings may not be included here. Ask your
accounting or facility staff for help.

- Using the information gathered, fill out
ElectricityAccounts.xls and ElectricityRecords.xls
.

total Electricity Usage for each account number. - Note Monthly data are optional.
- Duke Energy and Progress Energy data are
optional.

- Fuel Used (natural gas or fuel oil) Monthly or
Annual Totals - Vendor Number
- Vendor Name
