  • W2 forms are also called Wage and Tax Statements.
    These forms are provided by the employer to all
    employees and the Internal Revenue Service
    towards the end of the year. It contains
    employee's annual salary and taxes deducted. As
    such, it is important to fill in these forms by
    the employer, and their hard copy also needs to
    be secured and whenever required, need to be
    submitted for examination. This article will
    provide guidelines on how to print W2 forms in
    QuickBooks desktop.

  • Prerequisites to ensure before printing W2 Forms
    in QuickBooks
  • One should ensure the following before proceeding
    to print W2 forms in
  • QuickBooks Desktop. 
  • Update QuickBooks to its latest version and it
    should be compatible with the Operating system as
    well.
  • W2 form should be compatible with payroll
    service.
  • That most recent tax table should be installed on
    the system.
  • The QuickBooks Payroll Service should be checked
    and its status should be active. If inactive,

Procedure to print and reprint W2 forms in
QuickBooks Desktop
  • To print and reprint W-2 files in QuickBooks,
    abide by the steps given below
  • Run QuickBooks, then Employees..
  • Go to Payroll Center, then Taxes and Forms.
  • Go to Forms menu, then choose Annual forms
  • Opt for the relevant employee, then choose W-2
    Copies, B, C, and 2.
  • Now print the forms.

  • If you want to view a reprint, choose year of W2
    form, then click View Reprints.
  • The W2 form will appear as a PDF file, now you
    can print the document from here.
  • The Reissued Statement will be contained in the
    W2 as per the directions of the Internal Revenue
    Service.
  • The W-2 form should contain all these terms for
    its authenticity.
  • Then, click on Next.
  • Place a plain or perforated W2 paper in printer
    or any plain paper if these two are not
    available.
  • Hit on Print in the PDF Reader toolbar.
  • This action will print the W2 form in QuickBooks
    Desktop.
  • After these steps, the W2 form shall print in the
    QuickBooks account, and this information can be
    used for future reference by the employees for
    finalizing their W2 forms.
