Design Considerations
  • Plan a rough draft - get started

Auto Content
  • Easiest method
  • You are guided through the initial decisions
  • What are the standard items on each slide?
  • What are you going to talk about?
  • Select the type of presentation you would like to
    give
  • Fill in the text for each applicable slide

Pick a Look Wizard
  • Sets up the Look or Style of the Presentation
  • Pick the type of Output
  • Select a template
  • Pick the elements of the Presentation you will be
    using
  • PowerPoint sets it up

Using Templates
  • PowerPoint has several AutoLayout slides
  • In the New Slide dialog box, click on the slide
    style you want to use
  • To fill in the slide
  • Click on the item to be filled in
  • Start typing in text
  • Follow any on-screen instructions

Using a Blank Presentation
  • Blanks allow you to set up everything yourself
  • Select a Slide Layout
  • Fill in the items you want

Adding Slides
  • When you want to add a new slide, choose from one
    of the following
  • Click on New Slide... from the Status bar
  • Click on the New Slide button from the Toolbar
  • Select New Slide from the Insert Menu
  • Press CTRL M on the keyboard
  • Select the AutoLayout and fill it in!

Deleting Slides
  • If you goof or if the slide is not needed, you
    can get rid of it
  • Move to the slide to be deleted
  • Select Delete Slide from the Edit Menu

Saving a Presentation
  • When you have set up the initial look of the
    presentation it is time to save
  • Click on the Save Tool OR
  • From the File menu choose Save As...
  • Type in a name up to eight characters in length
  • No spaces, no special characters except a - or an
    _
  • Verify the destination (drive and directory)
  • SAVE AND SAVE OFTEN!!!!!!!!!!!!!!!!!!!

Working with Objects
  • Objects can be anything you include on a slide
    besides the text
  • You can create specific objects by using the
    Drawing Tools
  • You can Import pictures or clipart from other
    applications
  • You can create charts and graphs

Moving Objects
  • To move any object
  • Select it
  • Selection handles will appear
  • Click and drag on the edge (border) of the object
  • Drag to the new location
  • The selection line will become a dashed line,
    showing you where it will be placed

Changing the Size of an Object
  • To change the size of any object
  • Select it
  • Selection handles will appear
  • Click and drag on one of the selection handles
  • Drag to the new size (larger or smaller)
  • The selection line will become a dashed line,
    showing you the new size

  • Can draw up Freehand
  • Type in the text
  • Draw in the Boxes and Lines
  • Choose the Org. Chart AutoLayout
  • Click to fill in the text
  • Click on the buttons to add new positions

Using Graphs/Charts
  • Used to represent your data in a picture
  • More powerful, visually than a table of numbers
  • Easy to find or emphasize a trend

Creating Graphs/Charts
  • Choose the Graph AutoLayout OR
  • Click on the Graph tool on the Toolbar
  • Enter your numerical data into the table
    (Datasheet)
  • Click in the Graph window to see the graph
  • Make changes to the graph using the Chart Toolbar

Moving Between Slides
  • When looking at the full slide (Slide View)
  • Use the Next and Previous Slide icons (bottom of
    vertical scroll bar)
  • Use the Page Up and Page Down keys
  • Watch the Slide counter (bottom left) - tells you
    which slide you are looking at (number)

Slide Sorter View
  • Used to look at smaller versions of the slides
  • Gives you the larger picture of what your slide
    show will look like
  • To view any slide, point and Double click
  • To move a slide, Click and Drag to the new
    position

  • Use Manual Advance to go through at your own pace
  • You will click to go to the next slide

    advance to the next slide

  • Rehearse New Timings
  • Determine how much time for each slide
  • Use Slide Timings
  • Advance automatically after the time

  • Determine your Slide Timings
  • How long do you need to read and digest the
    contents of each slide?
  • Run with Slide Timings
  • Loop Continuously until ESC
  • The choice that will keep the show rolling until
    you stop it with the ESC key

  • Notes pages have slide at top and space for your
    thoughts, notes, comments, guidelines for the
    accompanying lecture at the bottom
  • To create a Notes page
  • pick the appropriate slide
  • View - Notes Page
  • Type appropriate notes in the Text box area
    (Click to add text)

Creating Handouts
  • Handout pages have smaller copies of (all) slides
  • Specify the number of slides to have on each page
    using the Print Dialog Box (Print What option)
  • You can add additional text or graphics to the
    handouts - just click and type

  • Use the Print Command from the File Menu
  • Select what you want to print from the Print What

PowerPoint Viewer
  • Can be used to run a presentation without having
    PowerPoint on the computer
  • Copy the Viewer file(s) to the same disk as the
    presentation file
  • Can be used on almost all Windows systems
  • Run the Viewer first, then the Presentation
  • No editing capabilities - just looking

Using a Word Outline
  • If you want to create a presentation from an
    existing Word outline, it is easy to do
  • From the Insert Menu, Choose Slides from
    Outline....
  • Select the name of the file with the outline
