Title: Getting more out of the Students Mapping Tool

1
Getting more out of the Students Mapping Tool
  • An on-line presentation and discussion
  • Term 3,2008
  • Presenter Doug Smith

2
Setting the scene
  • Stephen Covey (Seven Habits of Highly Effective
    People)
  • . Begin with the end in mind
  • and, later he says
  • .The main thing is to keep the main thing the
    main thing

3
WHAT IS THE MAIN THING, THE END IN MIND FOR
VICTORIAN GOVERNMENT SCHOOLS?
  • At the conclusion of schooling the government
    expects
  • 90 to successfully complete Yr 12 or the
    equivalent (in further study/training)
  • All young people, whenever they leave school, to
have the knowledge, skills and training to
successfully make the transition to the next
    stage of their lives
  • The effectiveness of schools can therefore be
    judged on
  • Good destinations on leaving school
  • The apparent retention rates

4
Where do young people go when they leave school?
  • The GOOD
  • Further education (inc. university, higher level
    VET) training (apprenticeship) employment
    (full-time)
  • The SO-SO
  • Lower level VET traineeship part-time
    employment
  • The UGLY
  • Looking for Work

5
Why bother with Early Leavers?
  • Youth not fully engaged in further education or
    employment 6 months after school
  • 23 of Year 12 completers
  • 40 of Year 11 leavers
  • 45 of Year 10 leavers
  • Young adults not fully engaged
  • 16 of Year 12 completers
  • 33 of Year 11 leavers
  • 40 of Year 10 leavers
  • 50 of Year 9 or below leavers
  • DSF figures quoted by Dr John Spierings

What is the Students (At Risk) Mapping Tool?
  • The Mapping Tool takes data from the CASES21 data
base and displays it in a pre-formatted Excel
    spreadsheet
  • The data is based on the key warning signs of
students being at risk of leaving school without
    completing Year 12
  • The data starts the conversation by teachers as
to which students are at risk, and what
assistance can we provide to those students
    identified.
  • The right-hand side of the Tool is used to record
all support programs/interventions and who is in
    them.

8
WHAT ARE THE KEY KNOWN INDICATORS?
  • LEARNING
  • Especially Literacy and Numeracy
  • BELONGING TO THE SCHOOL
  • Poor attendance
  • Bullying / anti-social behaviour
  • FAMILY BACKGROUND and ASPIRATIONS

9
Implementation issues Getting the data
  • Technical concerns
  • Getting seamless views on your workstation
  • Is the workstations security setting on
    medium?
  • Is the data downloading correctly
  • Solutions
  • Download the Frequently asked questions
  • Download the SAR Data Extraction Guide
  • Download the Quick Guide to SAR
  • Seek support within the school via SSO and/or
    Info Tech support
  • Contact CASES Service Desk (via appropriate
    office staff)
  • All downloads throughout the presentation(unless
    otherwise stated) are from
  • http//www.education.vic.gov.au/sensecyouth/career
    trans/mips/sar/default.htm

10
Implementation issues Organisational
  • LEADERSHIP
  • Who is driving the use of the Mapping Tool? Who
is ensuring the data entered on CASES21 is done
appropriately and at the right time?
  • Who is downloading the data and ensuring it gets
    to the appropriate staff?
  • Who has established and leads the small
implementation team? Is this a student management
team? A school improvement team, an Annual
    Implementation Plan team?.other?
  • Who does the initial data analysis, and how is
this analysis shared with the planning team?
  • Who ensures that the decisions of the planning
    team are carried out?
  • This person must be a genuine leader within the
school, a person with authority preferably a
    member of the Principal class.
  • See www.bmllen.com.au/resources.htm for a sample
    Action Plan

11
Potential uses for the Student Mapping Tool
  • MIPs and Regional Youth Commitment programs
  • Attendance programs (e.g. Its not OK to be away)
  • Literacy and Numeracy programs
  • Student wellbeing programs
  • Student management
  • Recording, monitoring evaluation of school
programs within the Annual Implementation Plan
  • Recording, monitoring evaluation of the work of
    external agencies within the school
  • Other?

Summary (to date)
  • Get your data from CASES21
  • Leadership decided on
  • Implementation team in place
  • Establish the most appropriate headings for
    school programs/interventions
  • Collect/enter data who is in what program?
  • Analysis of the data strategic planning
  • Comment Upgrade your collective skills with
Excel and play with the data to significantly
improve the use you can get from the data.
Arrange for someone to show you within the
school, or ask your CASES Training Centre

Some useful Excel(97-2004) skills
  • First step Unprotect the worksheet to enable
changes to be made Toolsgt Protectiongt Unprotect
    sheet
  • Highlight all the column headings and add a
    filter Datagt FiltergtAutofilter
  • This allows you to select and view only those
students who fit a designated category e.g. only
those who have left school (in the Exit date
column), or those who are in a specified support
    program, etc.
  • Highlight the cell to the right, and under the
headings of the cells you want to freeze, then
    Windowgt Freeze Panes
  • This keeps all the headings in view on your
screen, and allows you to scroll across the page
keeping the student name in view all the time.
  • Analysis of Literacy Numeracy is easier if you
use the process of Conditional Formatting.
Highlight the cells you want to format Formatgt
    Conditional formatand follow the prompts.
