PROJECT MANAGEMENT
  • Project management is the process of planning,
    organizing, and managing tasks and resources to
    accomplish a defined objective, usually within
    limitations on time, resources, or cost.

Project Task
  • A project task is an activity that has a
    beginning and an end.
  • Projects are made up of tasks.

Project Resources
  • The people, equipment, and material used to
    complete tasks in a project.

Project Objective
  • The quantifiable criteria that must be met for
    the project to be considered successful.
  • Objectives must include, at least, cost,
    schedule, and quality measures.
  • Unquantified objectives (for example, "customer
    satisfaction") increase the risk that the project
    won't meet them.

Project Constraint (Limitation)
  • A factor that will limit the project management
    team's options.
  • For example, a predefined budget is a constraint
    that may limit the team's scope, staffing, and
    schedule options.

Project Major Phases
  • Build the plan.
  • Track and manage the project.
  • Close the project.

The Project Triangle
  • The three factors that shape every project.
  • Time The time to complete the project as
    reflected in your project schedule.
  • Schedule The timing and sequence of tasks within
    a project e.g. tasks, task dependencies,
    durations, constraints, and time-oriented project
    information.
  • Money The project budget, based on the cost of
    the resources.
  • Budget The estimated cost of a project that you
    establish in Microsoft Project with your baseline
    plan.
  • Resources The people, equipment, and material
    used to complete tasks in a project.
  • Scope The goals and tasks of the project and the
    work required to complete them.
  • Work For tasks, the total labor or
    "person-hours" required (in terms of minutes,
    hours, days, weeks, or months) for all resources
    to complete a task. For assignments, the amount
    of work to which a resource is assigned for a
    specific task. For resources, the total amount of
    work to which a resource is assigned for all
    tasks. Work is different from task duration.

Project Strategy
  • The purpose for the project e.g. what the
    project intends to accomplish, issues important
    to consider, known aspects important to the
    project, constraints on the project, and project
    domain.
  • Project Objective The quantifiable criteria that
    must be met for the project to be considered
    successful.
  • Project assumptions Factors that, for planning
    purposes, are considered to be true, real, or
    certain. Assumptions generally involve a degree
    of risk.
  • Project constraint A factor that will limit the
    project management team's options.
  • Scope The combination of all project goals and
    tasks, and the work required to accomplish them
    e.g. project tasks and deliverables.

MS Project Support for Projects
  • Microsoft Project stores details about your
    project in its database.
  • Microsoft Project then uses this information to
    calculate and maintain the project's schedule and
    costs, thereby creating your project plan.

Project Plan
  • MS Project is used to create the project plan
    through entering information on tasks, task
    duration times, task dependencies, resources, and
    costs.
  • Task Duration The total span of active working
    time required to complete a task, e.g. the amount
    of working time from the start to finish of a
    task.
  • Elapsed duration is the amount of time a task
    will take to finish, based on a 24-hour day and a
    7-day week.
  • Task dependencies The nature of the relationship
    between two linked tasks, e.g. dependency between
    their finish and start dates.
  • MS Project Dependencies
  • Finish-to-start (FS) - Task B cannot start until
    task A finishes.
  • Start-to-start (SS) - Task B cannot start until
    task A starts.
  • Finish-to-finish (FF) - Task B cannot finish
    until task A finishes.
  • Start-to-finish (SF) - Task B cannot finish until
    task A starts.
  • Cost The total scheduled cost for a task,
    resource, or assignment or for an entire project
    (sometimes referred to as the current cost).

  • Periodical reviewing of project progress to make
    the changes necessary to keep the project on
    schedule and within budget.
  • Project Tracking Capabilities
  • Custom fields to identify specific information.
  • Views and tables to display the exact information
    you want to review.
  • Filters and groups to focus on the information
    that needs your attention.

Project Communicating Methods
  • Printing and reporting to present project
    information to others on paper.
  • Publishing to HTML or saving a project plan to a
    Web server to allow others access to project
    information on a Web site.
  • Microsoft Project Server, or an e-mail system to
    communicate project information to others.

Project Collaboration Methods
  • Microsoft Project Server and Microsoft Project
    Web Access
  • Team members can view their own task list or the
    entire project, create new tasks for the project
    plan, and delegate tasks to others.
  • Project manager can receive task updates and
    textual status reports.
  • Stakeholders can access project information to
    review the project.
  • E-mail
  • A simple collaboration method using an existing
    MAPI-compliant, 32-bit e-mail system to exchange
    basic task and status information with team
    members.
  • Team members can use special e-mail generated by
    Microsoft Project to assign tasks, send task
    updates, and submit textual status reports.

Project Data Viewing Methods
  • Views that present a subset of project
    information in a format that's easy to interpret.
  • View The combination of one or more views (Gantt
    Chart, Resource Sheet, etc.) used to work with
    project information in a variety of formats.
  • Charts or graphs, such as the Gantt Chart or
    Network Diagram, represent information
    graphically.
  • Sheets represent information in rows and columns.
  • Forms represent information in a format similar
    to a paper form.
  • Tables that define the columns displayed.
  • Filters that focus on specific tasks or
    resources.
  • A Filter specifies which task or resource
    information should be displayed or highlighted in
    a view.

Project Data Viewing Methods
  • Project information can also be grouped and
    sorted to see information categorized or ordered
    in a particular way.
  • Group To combine or rearrange tasks or resources
    in a project according to specific criteria, such
    as task duration, priority, resource
    over-allocation, or finish date.
  • You can use grouping to review the list of tasks
    or resources by a unique characteristic such as
    codes of a general ledger or a department number.
  • Note do not confuse the grouping feature with
    the Group field, which is a resource field.
