The Changing World
  • Introduction to Enterprise 2.0
  • Evolution toward the automation and acceleration
of the way people work, find information and
interact with each other regardless of their
    location
  • Changing face of the workplace. The young
workforce has certain expectations of the kind of
tools that theyre going to see when they join
    the workforce

5
Why SharePoint
  • Low technology cost
  • Simple in approach
  • Small footprint on IT infrastructure
  • Influence on reducing network disk storage and
    email communications
  • Empower and Entrust business users
  • Decentralized content administration
  • Efficiencies through collaboration
  • Solution framework for collaboration, social
    networking, intranets, extranets, and internet
    sites

6
Terminology
  • Automation
  • Taking an existing business process (i.e. how a
person/team executes a task) and applying
technology to make it happen faster
  • Invention
  • Creating a new process in order to introduce a
new task or provide an alternative to an existing
    business process

Paper-based Processes
  • Why are paper-based processes good candidates for
    SharePoint solutions?
  • Known
  • Who does what when
  • Repetitive
  • Templates, templates, templates
  • Exceptions have been identified
  • Exceptions make simple workflow tasks not so
    simple

9
Personal Adages
  • Do less well
  • Keep the task simple and define metrics for
    success
  • Crawl, Walk, Run
  • Start small and grow into more robust solutions
  • There is no such thing as a simple workflow
  • Beware the exceptions!

10
Use Case 1
  • Paid Time Off (PTO)
  • Employee fills out time off request form and
    delivers it to manager
  • Manager approves/rejects and delivers form to
    employee
  • Employee delivers form to Human Resources
  • HR files form in cabinet

11
SharePoint Solution
  • Employee fills out form and submits to SharePoint
  • Manager is automatically notified
  • Upon approval/rejection, appropriate resources is
    notified
  • Benefits
  • Better reporting
  • No paper management

12
Use Case 2
  • Prospect is sent an engagement letter
  • Engagement letter is signed project work begins
  • Status reports, specifications, and invoices all
    sent through various project milestones
  • Where are the documents?
  • How well does this scale for many clients (or
many projects for the same client)?

13
SharePoint Solution
  • Project team sites for project related materials
  • Client site for (signed and scanned) agreements,
    NDAs, MSAs, etc.
  • Proper use of metadata tagging to provide single
view into all relevant client documentation
  • Proper use of security management to share/hide
    documents with employees and/or client
  • Improvements in client communications, auditing,
    and dispute settlement
  • Scalable!

14
Leveraging SharePoint
  • Remember, this is a framework (not just a file
    cabinet or file system replacement)
  • Take advantage of
  • Metadata
  • Templates
  • Security
  • Search

15
Challenges
  • Its the devil I know
  • We have always done it this way
  • I dont have time for training
  • We have a history of failed IT deployments
  • Our clients expect us to mail/fax them

16
Lessons Learned
  • Find the Paper
  • Collect ? Tag ? Secure ? Search ?Repurpose
  • Contain Custom Development
  • Make this a business (not technology) problem
leverage the entrustment built into SharePoint
  • Foster an Environment of Continual Growth
  • Move away from version management and more toward
    continual, collaborative content collection
