- Quick Guide to Entering Data Records
- This brief guide is intended to assist those who
will add and update data for the MBTG program
competitive grant application. Contact Kim Voss

2Opening the guide and database simultaneously
- You can open both the Guide (MS PowerPoint
format) and the T32 database (MS IE browser
application) in separate windows to make it
convenient to refer to the help as needed. - To run the programs in separate windows requires
a simple setting in the tutorial presentation
setup. The PowerPoint slides have hyperlinks that
allow easy navigation from a table of contents to
a desired example slide and back. The internal
hyperlink feature requires running in Slide
Show mode. To run a Slide Show in a window Open
the presentation From the Slide Show menu bar
select Set Up Show In the box under Show
Type mark the Browsed by Individual option,
then OK. The slide show should now run in a user
sized window along side other programs.
3Required Information
- The instructions assume the perspective of a
faculty user going into the database to verify
and add required information about him or
herself. - The following information from each trainer on
the grant is required to generate the grant
application tables - Faculty Contact and Department/TG/Program
affiliations - Faculty Research/Expertise descriptor paragraph
- Faculty Grant Support
- Listing of all Pre Postdocs trained in past 10
yrs - For every Pre Postdoc UW dates, support if
here, prior degree info, scores, current
research, publications, current position if
post-training

- Select the Research /Expertise link
- Enter a research summary phrase and paragraph
(cut paste from other docs) - Save Close
- If other records are to be updated, goto that
record and enter information. All updates can be
saved at session end.

- Select the Students link to bring up a list of
students trained in the faculty (e.g. Brow) lab - Add / Update the Start and End Dates for all
- Add students to the list using the search feature
- Enter a name
- Click search
- Click arrowhead to attach
- Student not found
- Save and Close
- then goto 12

- Select the Post Docs link to bring up a list of
postdocs trained in the faculty (e.g. Brow) lab - Add / Update the Start and End Dates for all
- Add postdocs to the list using the search feature
- Enter a name
- Click search
- Click arrowhead to attach
- Postdocs not found
- Save and Close
- then goto 12

- These actions put the student in the database.

20Student Publications
- Note MBTG requires this information as a
separate text file list - you do not need to
enter it in the database - The publication search only looks at an internal
list of publications that is not current. The
Add New Publication feature allows
bibliographic information to be entered but since
this information likely comes from a list and the
output is a simple list, program administrators
should evaluate the utility of this data field
for their grant application or other purposes.

21Relational Database
- The T32 database is relational - data records
are put in and relationships or affiliations are
made between selected records. For example, a
faculty-department relation or a student-faculty
relation, etc. Other records are automatically
specific to one individual and cannot be linked
to any other individual or entity. An example
would be degree information or a research
description. Once a relationship is made between
individuals or programs there becomes multiple
navigational paths to reach a given individual.
This tutorial follows the path of a faculty
trainer with graduate students and/or postdocs
attached coming from the perspective that each
faculty trainer on a program will be responsible
for the relations assigned to him/her.
Experienced users will recognize alternate paths
to particular data records.
