Before requesting items in Blackwell Collection
Manager you should
  • Check the Library's online catalog (Felix) to be
    sure we do not already own the title. Check by
    title and author.
  • You can obtain additional bibliographic
    information at Amazon.com or other Internet book
    vendors
  • You can also check book reviews at Amazon.com and
    other Internet book vendors
  • Check book and publisher information at Books in
    Print

OK, so you have got the information you need and
the Woodward Library does not already own the
title.

Go into Blackwells Collection Manager. The URL
is http//cm.blackwell.com

How to log in
  • Each department will have one departmental login.
    Initially, the login information is given to just
    the faculty liaison but if the department decides
    to open access to request books to all department
    members, that is fine.
  • Bear in mind though, any item requested under a
    departmental login will be assumed by the
    applicable subject librarian to be a valid
    request and could be approved for purchase for
    the library.

Logging into Blackwells Collection Manager
  • Library code is JAPS (Blackwell defined). This
    field is case insensitive.
  • Case sensitive user id (lowercase) and
  • Case sensitive password (lowercase).
  • This information will be given to the faculty
    liaison. Once the information is filled in, you
    will be greeted with.

  • If you have a title, an author, a publisher, an
    ISBN number, an LCCN number, or a series title it
    is pretty straightforward to search Blackwells
    database. If the title is in Blackwells database
    (not everything is, but more later on that), you
    will be greeted with possible matches. The search
    screen looks like

If you have an ISBN number, LCCN number, a title,
author, publisher, or series title, it is pretty
straightforward to search Blackwells database.
If Blackwell has the title in its database, you
will get a list of possible items meeting your
search.

Qualifications for search fields
  • Firm Order titles should NOT be excluded since a
    title you might be ordering might already be
    on-order and the library does not want
    duplicate orders.
  • Forthcoming titles is pretty clear. Titles that
    are not published right now but are being
    published down the road. It is your decision to
    include or exclude those.
  • Exclude US titles? Why would you want to do that?
    A title published in the US would be a quicker
    item to get.
  • Exclude UK titles? Why bother? When you get
    titles that match your search, choose the US
    version if available else the library can get UK
    titles.

  • Quantity defaults to 1 copy (library policy
    dictates one copy unless compelling reason is
    given to order additional copies)
  • Fund leave blank Acquisitions will fill in with
    appropriate fund
  • Location defaults to austin
  • Department fill with Faculty member last name if
    department needs to know who, in the department,
    requested the item. Else, leave blank later
  • Internal Notes, Notes to Blackwell Overlay
    Number Used by Blackwell. Leave empty.
  • When ready, click on the REQUEST button in upper
    left corner.

If the department needs to keep track of who in
the department requested the item, the
department field should be used. Simply fill in
the faculty members last name. Excel reports can
be provided that show this information.

Before going on to add the title, be sure you
have been searching the correct information
(title, author, isbn, etc). If you are not
certain, try several different searches. Double
checking may find that Blackwell has the item in
their database already.

Once you create the unverified record,
remember to Request it.

Blackwell will investigate the item and update
the record if necessary. If the librarian agrees
with request and orders the item, Blackwell will
try to get the item and if item is not available,
Blackwell will alert the library as to its
unavailability so that other sources may be used
to purchase the item.

Profiles
  • Because the Woodward Library has an approval book
    plan from Blackwell, there are profiles already
    created for the various subject areas. You can
    use these profiles to find books that Blackwell
    thinks might be good matches for the Woodward
    Library. The profiles also list books already
    being sent to the Woodward Library on Approval.
    There are two symbols in the profiling

The Blue B means book is sent or will be sent on
approval. The Yellow F means the book is not
being sent but the information is provided on
this form in case library would like to order
it.

Here is an expanded list of the subjects. The
symbol expands the subject area into sub-areas.
You can explore these areas to get ideas on
additional books to order

  • The yellow Fs are forms. The librarians
    will be forwarding lists of titles from these
    forms to the faculty liaisons through a tool
    called e-Notes on a regular basis. These are
    items that might be good to own. You can view
    these records as possible items to order. Simply
    request these items using the functionality you
    have just learned.

another method to determine who requested items
for those departments that want the information.
Simply put in the faculty members last name in
Department field and check what kind of requests
open requests, completed requests, open approved
requests, completed approved requests or rejected

  • Blackwell can alert you to new titles publisher
    or to be published.
  • Currently, you should be getting alerts on a
    regular schedule sent via an email alert.
  • To add new reports or to modify reports go to the
    Reports menu

    as needed, separate by semicolons
  • To make sure you only get reports when there is
    new information, check the Suppress my
    report/email if no new titles are announced
    (optional) box.
  • Format of citation option brief should have
    enough information
  • Approval actions to be included? Pick the yellow
    F Forms.
  • US and/or UK Editions?
  • Select an appropriate subject area. If you want
    to narrow down to subtopics, click on the Select
    subjects hyperlink
