Welcome to WEXOnline
WEXOnline is an internet based application that
provides a suite of integrated tools to help you
manage your fleet more efficiently.
The following is just an overview of the
functionality available
  • Reporting
  • Transaction summary and details
  • Status Search - provides a snapshot of vehicles
    and drivers currently on the account
  • Controls
  • Purchase Alerts - e-mailed notifications sent
    when there has been a violation of a parameter.
  • Toolkit
  • Site Directory customize a search for accepting
    fuel merchants nationwide
  • Daily Best Fuel Prices - provides a competitive
    view of price per gallon by merchant

How to login to WEXOnline
Step 1 Open your web browser and go to
www.wrightexpress.com. Step 2 On the left hand
side of the screen, click the blue Log In
button Step 3 Enter your initial username and
password that was provided to you. Usernames
should be in all caps, and passwords in lower
case. Note During your initial login, you will
be asked to change your password to one of your
choice. It must be between 6-10 characters long
and contain at least 1 digit. Step 4 Click the
Accept button for the online user agreement.
Step 5 The system will then go back to the log
in screen. Enter your username and your new
password to continue.

WEXOnline Reporting
WEXOnline Reporting provides locations a way to
view electronic versions of the monthly bill and
supporting documentation.
  • Electronic Billing
  • View current and prior months invoice
  • Electronic Vehicle Analysis Report (EVAR)
  • Summary report used to reconcile your bill and
    manage your fleet fuel expenditures. Download
    and format for optimum use.

BillingElectronic Billing
1. ELECTRONIC BILLING Notifications are
e-mailed monthly to alert you that the bill is
available for online viewing/printing.
Accessing the Electronic Bill Step 1 At the
home page, mouse over the Reporting then Billing
tab and click on Electronic Bill. Step 2 At
the Fleet Account field, click the Hierarchy
Explorer icon and select the appropriate
account. Step 3 Click the Select button.
Note to view the previous periods invoice,
click the Period Ending drop-down arrow, then
click Submit

2. EVAR (Electronic Vehicle Analysis Report)
Summary report used to reconcile your bill and
manage your fleet fuel expenditures
ACCESSING EVAR (Electronic Vehicle Analysis
Report) (sample provided)  Step 1 At the home
page, mouse over the Reporting then Billing tab
and click on EVAR. Step 2 At the Hierarchy
field, click the Hierarchy Explorer icon
then Step 3 Select the Main Branch Account,
which is at the top of the list and includes the
Branch Number at the end of the account
name. Step 4 Click the Search button Step 5
At the Summary page, under the most current date
range, click on Account under the column titled
Level Step 6 On Item 1 select the appropriate
Posting Date Range Step 7 Click the Download
Results button, located mid-way down the page
on the left hand side Step 8 On the File
Download box, Click Save this file to disk and
save this file as the default .CFM file extension
(you will open this file in Excel, and click
through the wizard if prompted.) The data will
now download into an Excel Spreadsheet

ReportingTransaction Summary
Overview The Transaction Summary query allows
you to quickly summarize information on your
transactions in a variety of ways. For example
Hierarchy summary allows you to view and
compare the purchasing habits of each account or
department in your organization. Merchant State
summary allows you to view how much you are
purchasing in each state. Transaction Date
summary allows you to view your purchases by
days of the week. Merchant Name summary
allows you to view your purchases by merchant.
  Step 1 At the Home Page, roll over the
Reporting tab then Reports and click on
Transaction Summary. Step 2 At the Fleet
Account field, click the Hierarchy Explorer icon
and select the appropriate account or department.
Step 3 At the Site Types field, select one of
the following All Categories Fuel
Service Step 4 At the Query By field, click
one of the following Transaction Date (the
date the transaction occurred) Posted Date (the
date the transaction posted to your account)

Step 5 At the Date Range (Calendar) field,
either Click the down arrow to select and click
the number of days you want to view at the
Calendar Days radio button or select the date
range for the transactions that you want to view.
Note You can click the Calendar icon to open a
calendar. Step 6 (Optional) At the Hierarchy,
click the Hierarchy Explorer icon and select the
appropriate account or department. Step 7
(Optional) At the Filters field, click the down
arrow, and then select and click one of the
following filtering options Note Filters
are not required. Step 8 (Optional) At the
blank field beside Filters, click the Hierarchy
Explorer icon and select the specific data to
query. Step 9 At the Summarize By field, click
on one of the following Hierarchy, Merchant
State, Transaction Date, and Merchant State.
Step 10 Click Search. Note Clicking the Reset
button will clear all fields.

Overview When you have a question about an
expense for an individual or a group of
individuals, this query enables you to quickly
view the details on transactions. You can view
transactions for specific categories such as
Fuel Site - displays all items purchased at fuel
sites. Service Site - displays all items
purchased at service sites. All Categories -
displays all transactions purchased at fuel and
service sites. Step 1 At the Home Page, roll
over the Reporting tab then Reports and click on
Transaction Details. Step 2 At the Fleet
Account field, click the Hierarchy Explorer icon
and select the appropriate account or department.
Step 3 At the Site Types field, select one of
the following All Categories Fuel
Service Step 4 At the Query By field, click
one of the following Transaction Date (the
date the transaction occurred) Posted Date (the
date the transaction posted to your account)

ControlsPurchase Alerts
Individual WEXOnline users can choose to be
notified via email when select purchases meet the
alert thresholds that they establish. (See the
section select to receive email notification for
purchase alerts) Step 1 At the Home Page, roll
over the Controls tab and click on Purchase
Alerts. Step 2 At the Fleet Account field,
click the Hierarchy Explorer icon and select the
appropriate account or department. Step 3
(Optional) At the Vehicle Card Number field,
click the Hierarchy Explorer icon and select the
appropriate card number. Note Leave this field
blank to set the alert for the entire account.
Step 4 Click the Select button You can choose
to set Purchase Alerts for any of the following
categories Multiple Transactions per day
Out-of-State Transactions Off-hours
Transactions Transactions on specific days of
the week Step 5 Click the checkbox for
Multiple Transactions per day. Enter
the number of transactions in the text box
provided.

Step 6 Click the checkbox for Out-of-State
Transactions. At "Notify me when a
transaction occurs", click the down arrow and
select inside or outside. At "these states
click the state. Note Hold down the control key
to select multiple states. Step 7 Click the
checkbox for Off-hours Transactions. At
"Notify me when a transaction occurs", click the
down arrow and select between or outside. At "the
hours of", click the down arrows and select the
time of day range. Step 8 Click the checkbox
for "Notify me when a transaction occurs", then
click the down arrow and select 'on' or 'not on'
these days of the week. Click the checkbox for
one or more days of the week. Step 9 Click the
Submit button. A confirmation screen will display
the new information. Note Clicking the Reset
button will clear all fields. Select to
discontinue email notification of Purchase
Alerts. Step 1 You can select to be notified
via email, when your purchases meet the alert
thresholds you establish. (See the section
select to receive email notification for purchase
alerts) Step 2 Click the No radio button to
discontinue email notification of Purchase
Alerts.

Step 1 At the Home Page, roll over the Toolkit
tab and click Site Directory. Step 2 Enter
information in one or more of the following
fields Zip Code, City, State or Station
Brand.Step 3 Click the Search button. The
first 100 suppliers are displayed. Note You
can download the results by clicking the Download
Results link.

Step 1 At the Home Page, roll over the Tool Kit
tab and click on Daily Best Fuel Prices Step 2
Enter in a search tag City State ZIP
code(s) separate multiple ZIP codes with a
comma Step 3 Set a dollar limit or number of
days to restrict the results Step 4 Click the
Submit button in the bottom right side of the
screen to proceed. Step 5 Click on the gray
arrow in the Site Name header to sort by
price. (You can download the results by clicking
the Download Results link)
