Marketing Public Relations Basics When you
are operating on a shoestring.
3

3 WAYS TO CONDUCT FREE MARKETING Sometimes the
best marketing   public relations takes time,
not money 1 GIVE TALKS. 2 GIVE THANKS.
3 GIVE AWAYS.
4

1 GIVE TALKS. Is someone in your organization
an expert at something? Offer him/her up for
free talks in your community or as an expert on
local TV or radio talk shows.
5

2 GIVE THANKS. Does you organization rely on
volunteers or have board members that deserve
accolades? Send thank you notices or interesting
stories to their employers' communications
departments and urge them to put something in the
company newsletter or intranet. The bigger the
employer, the better.
6

3 GIVE AWAYS. Does your organization have
anything of value? Memberships? Newsletter
advertising? Products or services? Donate these
types of bid-worthy items to local charity
auctions. And be sure to also develop a display
to go along with the items so that everyone who
attends will know all about your organization and
its mission. (Even better if the auction is
televised.) Door prize donations at business and
community events can also be effective ways to
tell the world about your organization.
7

Get your story straight.  THE MOST IMPORTANT
PUBLIC RELATIONS TIP TO REMEMBER Arm every
volunteer, staff member and board member with a
short, specific answer to this question "I've
never heard of your organization. What does it
do?" Everyone should be able to answer this
question in the same way. It doesn't look good
when a different answer is given by different
people in your organization. And remember, your
organization's mission statement is NOT marketing
copy or interesting dinner conversation, do don't
memorize and recite it verbatim (tell your board
members the same).

8
Dont have any money to print marketing
materials? THATS OKAY. YOU CAN ACT LIKE YOU DO.
Provide downloadable materials for your
ambassadors and stakeholders to print
themselves. These include your foot soldiers
such as board members, volunteers, member
organizations all the people in your community
that care about the work that your good cause is
doing.

GROUPS Has your organization ever wished it could
have its own listserve or discussion board? The
all-powerful Google Gods recently launched a new
"Google Groups" service. Why re-invent the wheel
when the millionaires at Google have already
created it for you? (Just don't tell those
expensive web developers that we let the cat out
of the bag on this one!)

2 MORE WAYS TO CONDUCT FREE MARKETING Sometimes
the best marketing   public relations takes
time, not money 1 MAKE FRIENDS. 2 MAKE BOARD
MEMBERS HELP.
15
MAKE FRIENDS. Is another nonprofit organization
having an event or activity that gets a lot of
attention each year? Align yourself with that
organization by offering to provide help and
support. The best partnerships are the ones where
each organization adds value to the message you
are trying to promote.
16
MAKE BOARD MEMBERS HELP. Do you have an event
coming up and fear low attendance? Ask the board
chair to require that all board members invite at
least 10 friends, neighbors and family members to
the event. Be sure and provide them with a flier
they can print out to promote the event to the
people they know. Now is the time of email
address books -- so take advantage of the
"network" that is available to you through your
board members. You would be surprised to find
out how many of them overlook this simple way to
help your cause.

THINKING ABOUT CREATING A MARKETING COMMITTEE?
5 questions to help you determine if it is
worth the effort. When a nonprofit organization
does not have a large internal marketing capacity
nor feels as though it has the budget for
outsourced help, a volunteer committee may seem
like the answer (and very well could be). But, it
is a decision that needs to be thought out,
taking into consideration the pros and cons.
Here is a list to help your organization think
it through.
18

THINKING ABOUT CREATING A MARKETING COMMITTEE?
5 questions to help you determine if it is worth
the effort. Question 1. Do you have a
member on your board of directors that is a
marketing professional that will lead the
committee and hold its members accountable?

THINKING ABOUT CREATING A MARKETING COMMITTEE?
5 questions to help you determine if it is worth
the effort. Question 2. Will your
committee be a working committee or serve to make
recommendations to staff  (if the latter, do you
have the internal capacity to fulfill those
recommendations?)
20
THINKING ABOUT CREATING A MARKETING COMMITTEE?
5 questions to help you determine if it is worth
the effort. Question 3. Who will recruit
members, what is there understanding of
marketing, and what is their motivation for who
they will ask?

THINKING ABOUT CREATING A MARKETING COMMITTEE?
5 questions to help you determine if it is worth
the effort. Question 4. Do you have a staff
member with the time and expertise to take
ownership of the committee? How many staff
members will have to attend the meetings and how
often (and do they already have full schedules?)

THINKING ABOUT CREATING A MARKETING COMMITTEE?
5 questions to help you determine if it is worth
the effort. Question 5. Is there already a
results-oriented organizational or departmental
plan that is in place for the committee to use as
a foundation, or will they be starting from
scratch?

QUICK TIP  Make sure your logo is as great in
one color as it is in three.  Most organizations
can't afford to have their logo printed in
three-color every time it is used. Make sure it
looks just as good in black and white. If you are
thinking about developing a new logo for your
nonprofit, but are not sure if your board or
stakeholders will embrace something new -- make a
compromise. As much as ad agencies and design
houses love creating new logos, what they may not
tell you is sometimes a far more effective and in
expensive solution is not a complete re-do, but a
"facelift" of your current logo. Something to
think about.

  • Press Release Dos Donts
  • Following some basic rules will keep you from
  • shooting yourself in the foot when it comes
  • to preparing and sending press releases.

26
  • DOs
  • Follow a press release template. Get one if you
    do not have one.
  • Always include your organizations boiler plate
    paragraph.
  • Put a name and contact information on every
release and ALWAYS be available and return calls
quickly after you send a release.
  • Write the release as though it is a story already
    in the newspaper.
  • Send the release to the most appropriate
    journalists only.
  • Send first to journalists you already have a
    relationship with.
  • Keep it sweet and simple. The most important
information should appear in a short 2-3 sentence
    opening paragraph.

27
  • Do NOTs (the most common mistakes)
  • Do not write a press release in first person.
  • Do not ask the reporter if they are going to use
the release (you can, however, call and make sure
    they received it)
  • NEVER, EVER ask to review a story that a reporter
    is working on.
  • Do not send out a release about something no so
important when you have something big around the
    corner that needs attention.
  • Do not send out a release without having it
proofed, reviewed and approved by appropriate
    staff.
  • Do not send out multiple releases at the same
    time.
  • Do not put in contact names of people that will
    be unavailable.
