The Bulk Import and Assign wizard allows the
practice to import electronic instructions from
any source file.
The matter name is the instructing division of
the company that is sending the instructions!
The debtors are then assigned to a process flow
which will ensure that all collections are done
in the most efficient and controlled manner.

You merely specify how the file is delimited and
the data appears in the sample frame to confirm
that the system can read the import file
successfully.

The usually complex task of mapping database
fields from the handover file to your database is
achieved easily with this intuitive and user
friendly wizard.

You can set defaults for all matters imported.
This means that all debtors will be handled
consistently and according to the same conditions.

The Assign option allows you to assign the
incoming debtors to your collectors according to
various criteria. Your criteria may differ from
one client to another or even from one handover
(from the same client) to another.

Finally, you can save the wizard settings
accumulated for this handover file and give it a
template name. Any further handovers received
periodically from this client will be imported
using the template we have just created in
these six easy steps!

For every batch of collections (for a specific
client), the system allows you to capture the Fee
Arrangement. This means that all debtors linked
to this client will be subject to the conditions
or rules of the Fee Arrangement. This makes
reporting and accounting to clients much easier
and more efficient.

Once the debtors are imported and assigned to the
appropriate collector, that debtor will appear in
the diary of the collector.
All process actions are available on the diary
screen. These actions can achieve anything from
generating legal documents, diarizing the debtor
for follow up recording a note or a promise to
pay to sending an SMS or scheduling an
appointment in Microsoft Outlook
All details necessary (when speaking to the
debtor) are readily available, including notes
contact details and the outstanding balances.

Probably the most important aspect of the
collections systems is the Dynamic Diary. As
collectors deal with debtors, so they can diarise
accounts for future action.

The Management Toolbar allows a supervisor to
view collectors diaries assign accounts from one
collector to another and recall the assigns (as
the case may be).
The supervisor and collectors can assign tasks to
one another. For example a collector may ask the
supervisor to call an irate (unreasonable) debtor
by assigning a task to the supervisor. Likewise
the supervisor may assign tasks of any nature to
the collectors.

If you need to generate legal documents, the
system manages all data so that you need never
capture the same data twice. All data is then
used appropriately and merged into the completed
document.

The document is rendered in Word and
automatically attached to the debtor account,
where it can be viewed, printed or reproduced at
any time.

The fee is debited or a note is recorded. If a
fee is recorded, it is always recorded as an
unbilled fee. The client fee arrangement will
determine what fees will be posted to the account
and invoiced.

The system also allows collectors to record the
details of a Promise To Pay. The system will
send an SMS on the day that the PTP is due and
again if the payment does not arrive on time.

Apart from system-generated SMS messages, the
collectors can send SMS messages to debtors at
their own discretion in order to improve success
rates.

Reports can be written for clients according to
specific requirements and delivered via many
windows reporting tools.
