Purging Unnecessary Data from Sage 50
  • Have you noticed that your Sage 50 (Peachtree) is
    running slower than it had been previously? Maybe
    it is time to believe purging your old accounting
    data?
  • Purging is that the process of removing inactive
    customers, vendors, employees, jobs, quotes,
    invoices, etc. from the records of a corporation.
    Purging decreases the dimensions of your file and
    removes a number of the clutter which will be in
    your records and improves your overall system
    performance. In Sage 50, purging is often
    performed at any time, including after you shut
    the financial year and/or close the payroll tax
    year using the Year-End wizard.
  • The Purge Wizard will guide you thru the purge
    process, letting you opt what sort of records and
    the way old of records should be purged. Click

  • During the Purge wizard, you'll be required to
    form a backup before you start purging. In fact,
    we recommend that you simply make two backups,
    one for current reference and one to be stored
    during a secure location for emergency needs.

  • Note The purge process isn't intended to get rid
    of or fix corrupt data. If you're experiencing
    problems together with your data or suspect it's
    corrupt, you ought to restore a backup of your
    company data.
  • To begin the Purge process
  • Select Tasks from the Sage 50 menu bar, then
    System, then Purge Wizard.
  • The Purge Wizard Welcome Screen displays. Click
    Next.
  • The wizard requires a backup before continuing.
    Once the backup is complete, you'll be returned
    to the present window. Click Next.
  • The Old Transactions window allows you to choose
    which unneeded transactions you would like to
    purge.
  • Enter the date on or before which such
    transactions are often purged.
  • In the Transactions group box, select the
    transactions you would like to purge.
  • Select Receivables to delete transactions like
    quotes, invoices, and receipts.
  • Select Payables to delete transactions like
    purchase orders, purchases, and payments.
  • Select Payroll to delete payroll transactions.

  • Select Inventory to delete adjustment and
    assemblies transactions.
  • Select General Journals to delete journals and
    their entries.
  • Select Audit Trails to delete company audit trail
    data (available only in Sage 50 Complete
    Accounting and higher).
  • Select Used Tickets to delete time and expense
    tickets utilized in payroll and sales (available
    only in Sage 50 Complete Accounting and higher).
  • Select Unused Tickets to delete time and expense
    tickets not yet used (available only in Sage 50
    Complete Accounting and higher). Then enter or
    select a date on or before which such tickets are
    often purged.

  • finished, select Next to proceed with the purge
    process.
  • The Account Reconciliation window allows you to
    specify whether or not you employ account
    reconciliation and if you are doing, which
    accounts need reconciling before the purge.
  • If you select Yes, within the grid at rock bottom
    of the window, select the accounts that has got
    to be reconciled before purging.
  • For each category of account requiring
    reconciliation, like Cash or Inventory,
    double-click the arrow to sink an inventory of
    individual accounts. Any accounts that are
    reconciled within the past are going to be marked
    by default.
  • Select the check box for every individual account
    that has got to be reconciled. If an account is
    chosen here, any transactions that use the
    account but aren't reconciled, no matter date,
    won't be purged. Click now- Purge Old Employees
    in Sage 50
  • When finished, select Next to proceed with the
    purge process.

  • 13. The Inactive Maintenance Records window
    allows you to select the kinds of inactive
    maintenance records you would like to purge.
    you'll purge inactive records as long as they're
    not employed by any transactions and if they need
    a zero balance.
  • Select the check boxes for every sort of inactive
    maintenance record you would like to purge
  • Customers/Prospects
  • Vendors
  • Employees/Sales Reps
  • General Ledger Accounts
  • Inventory Items/Attribute Sets (attribute sets
    are available only in Sage 50 Complete Accounting
    and higher)
  • Jobs/Phases/Cost Codes
  • When finished, select Next to proceed with the
    purge process.

  • Once all the alternatives are made, a summary of
    options screen will display. this may offer you
    the power to start the purge or to travel back
    and make necessary changes before starting the
    purge process.
  • Note The purge process gives you the power to
    prevent the purge at any time and to resume at an
    equivalent point when time permits. However, if
    the method is stopped, some remaining
    transactions or maintenance records might not be
    purged.
  • When the purge process is complete, click the Log
    button to review what data was purged. Note If
    you stop the purge process, you ought to run the
    Purge Wizard again at a later date to get rid of
    the remaining unneeded transactions and records.
