Responsibility Coordination

• Who will take the lead? Who will facilitate
  coordination among offices and departments?
• Often a joint effort between Presidents Office,
  PIO and IR
• Is this an administrative task? Does there need
  to be broader input?

Purpose

• What is purpose of the report? To what degree is
  the report going to be
• An accountability document about how the college
  has met Ends Policies and/or Strategic Goals?
• A public relations or marketing piece?
• An internal communications document?
• Some combination of the above

Audience

• Who is the intended audience?
• Community
• Business Leaders
• Legislators or other political entities
• College Staff
• Potential Donors
• Keep in mind there may be unintended audiences!

Primary Focus

• What is the primary focus of the report?
• Ends Policies/Statements?
• Strategic Plan Goals?
• Students?
• College Activities and/or Achievements?

Content Presentation

• How do you want to present the content? You have
  a range of qualitative and quantitative options
• Narrative
• Graphs/Tables
• Photos
• Testimonials
• Combination

• If you are going to use graphics be sure they
  are accurate!

Format and Costs

• How much money do you want to spend? Probably
  depends a great deal on the answers to the
  previous questions, plus
• How many?
• What will the package look like? Standard
  size? Custom envelope required?
• Full-color glossy? Or something less expensive?
• Keep in mind possible unintended perceptions
