Who are Contractors?
  • Anyone who performs work on behalf of the
    University as below
  • Building work trades builders, plumbers,
    joiners, electricians, painters
  • Engineers servicing or installation of fixed
    plant/equipment maintained by Estates Services
    e.g. lifts
  • Service Engineers BSCs, Autoclaves, pure water,
    centrifuges, lab. equipment, office equipment
    e.g. photocopiers

Why do Authorisation to work forms need to be
completed?
  • We have a responsibility to ensure that
    contractors are not exposed to hazards in the
    Department and also that staff are not exposed
    to hazards or unsafe situations created by
    contractors.
  • We also have a responsibility to ensure that
    contractors have full knowledge of fire
    safety/emergency procedures within the Department.

Contractors must have their work requested by
Estates Services if they
  • Work on the fabric of the building
  • Work at height includes roof work use of
    scaffolding.
  • Work on high or low voltage electrical circuits.
  • Perform hot work
  • Work in a confined space
  • Work with asbestos and ACMs
  • Work on the drains

Contractors arranged by Estates Services must
  • Complete the Biology Authorisation to work form
    on arrival in Biology. Estates Services should
    liaise with the Infrastructure team.

Biology staff who arrange for contractors must
  • Ensure that a risk assessment and method
    statement is obtained prior to the work being
    performed if you feel that there are potential
    problems raised by either please seek advice from
    the Infrastructure team.

Biology staff who arrange for contractors must
  • Ensure that the company has Employers Liability
    Insurance and Public Liability insurance for a
    minimum of 5 million prior to the work being
    performed.
  • Note details of companies and their
    insurance policies are kept by the Infrastructure
    team on N/Infrastructure/Authorisation to
    work/Insurance database - contractors. If the
    insurance details of the company that you are
    dealing with are not on the list or are out of
    date, please obtain up to date copies of the
    insurance certificates from the company and give
    them to Rebecca Regan.

Biology staff who arrange for contractors must
  • Ensure that Biology reception is informed of the
    date time of visit.
  • Ensure that the Authorisation to work form is
    completed by the contractor and the member of
    staff reponsible for the contractor prior to the
    work being performed.

  • Location and details of work activity
  • Workplace hazard identification and controls.
  • Work activity hazard identifications and
    controls.
  • Declaration by authorised person undertaking the
    work
  • Declaration by authorised departmental staff.
  • Further comments.
