  • There are four-phases to the project life cycle,
    and it is comprised of project initiation,
    project planning, project execution, and project
    closure. The project initiation phase is the
    most critical phase of the project life cycle as
    it is the key component to starting a project.
    Project initiation activities and documentation
    provides the needed data to ensure that all team
    members and customers understands the focus or
    targets of the project. The project initiation
    artifacts are referenced throughout a project and
    they can be used as a roadmap for the team. In
    short, this is the, "who, why, what, when and
    how", part of the project.

  • Case Study
  • Project 23 is a product development effort that
    involves integrating the iPhone and iPod with the
    BMW windshield.  This fictitious product is
    called the iShield and the project team is
    located in various parts of the world. BMW has
    contracted with the FutureStep Integrators to
    build and integrate the product into its new 3
    Series convertible. FutureStep Integrators has
    members of its development team located across
    the globe and the developers will be
    collaborating with Apple Computer Company based
    in California.
  • The purpose of this product is to create the
    iShield device that will allow customizable
    content to be displayed on the windshield of the
    new 3 Series convertible. The data sources and
    features will be derived from the Apple iPod and
    iPhone, along with various data from BMW standard
    IT package.

  • The goals are to create a feature rich tool that
    utilizes the BMW IT framework and to seamlessly
    integrate into the BMW suite of tools. The
    following features have been requested by BMW
    engineering.

  • The objectives of this project are to utilize the
    best people around the world and produce a
    quality and timely product for the 2009 shipment
    of the BMW 3 Series. Utilizing a virtual team
    allows the project to be managed efficiently and
    for all team members to have better collaboration
    even if they are in different parts of the world

  • Day in the Life
  • The Project 23 Portal is the primary
    collaborative tool for the project. All
    communication and work products reside in this
    tool. The portal is also used as a mechanism to
    lead and build team synergy. The site is a
    virtual office where everyone is connected on a
    daily basis
  • On a typical day, Lorraine and Tony the project
    leads will have a daily status meeting at 1200
    pm EST. Twelve oclock is the window of
    opportunity to communicate directly with the east
    coast, west coast, and Germany.

  • Each virtual team member starts the day by
    logging into the Project 23 web portal. The
    project leads post any announcements and the
    events and action items list are updated with the
    current priorities and status. The time and
    attendance area is accessed so that each member
    can post their start time and then retrieve their
    work packages for the day.
  • After reviewing the daily work packages, email,
    and discussion threads, most of the engineers
    will download the latest code changes from the
    configuration management tool that is embedded
    within the Project 23 portal. Any document
    changes posted to the site automatically sends
    and email alert to each member, and the item is
    also flagged as new content to the site.

  • Real-time collaboration occurs through text chats
    and through the video conferencing abilities.
    Dynamic document updating is used on joint
    authoring of documents. Phone conferencing on a
    daily basis and utilizing an electronic
    whiteboard along with Net Meeting for sharing
    presentations increases the teams productivity
    by sharing real time information and knowledge.
    The portal is available to all stakeholders to
    find the necessary information to do their jobs
    and to keep everyone informed.
  • At the end of the day, each member updates their
    portion of the project work schedule with the
    latest status and task completions. Compiled
    code is checked into the repository, discussion
    threads are updated, along with sending email to
    the team about any questions or concerns. The
    Project leads review and update the risk and
    issues list based on the days activities. At
    the end of each work cycle everyone records their
    daily chargeable time.
