From i1440 to Peoplesoft
  • Why is ISSP moving away from i1440?
  • i1440 notified us at the end of 2006 that they
    would be discontinuing support for the product at
    the end of 2007.
  • ISSP needed a replacement system to handle our
    SEVIS reporting and international student/scholar
    case management.
  • Why Peoplesoft?
  • We considered a couple of options, but ultimately
    decided that Peoplesoft would be the best
    solution for our office and the university.
  • Using Peoplesoft will allow us to maintain
    consistent data.
  • Department users can make requests via a familiar
    system.

Similarities
  • Submit requests electronically for new J-1
    scholars, H-1B, TN, and O-1 employees
  • Print out a request form for signatures and send
    to ISSP with supporting documentation

Differences
  • Requests are made in Peoplesoft (from the HRWeb
    screen)
  • All information requested is required.
  • No more irrelevant fields
  • Can save a request as you go
  • You will be able to see the status of pending
    requests, including when they are filed and the
    case number.

Requesting Access to ISSP Functions
  • ISSP Functions will be added to the HR Data
    Access Request Web page January 21st , 2008
  • You must complete ISSP training before access
    will be granted.
  • Only you or your Supervisor can request access.
  • A Dean, Director, or Specified Name Approver for
    your department must approve ISSP Functions
    access.

How to Request Access to ISSP Functions on HR Web
  • Go to the Human Resources Website
  • http//emory.hr.emory.edu/eu/index.html
  • Click on Manager Toolkit Tab in right corner
  • Scroll to HR Rep Manager Resources Section
  • Click on HR Data Access Requests link
  • Login using NetID and Password
  • Click on Change HR Access link
  • Click on Add button

How to Request Access to ISSP Functions on HR
Web 7 steps
  • Select employee class access level
  • Select departments/divisions
  • Select reports (you may skip not applicable)
  • Under General Special Update Roles
  • select ISSP Functions
  • Select departments and click continue
  • Provide comments if desired and Save Comments
  • Click on Log Out Your NetID on left

Accessing ISSP Functions
  • Login to Peoplesoft HR as usual
  • Navigate to HRWeb
  • You will see a new section called ISSP Functions

Creating a New Request
  • To start a new request, click on DRF Visa
    Request Search/Entry
  • You will be taken to the search screen. The
    first step is to search for the person in the
    database.
  • Even if the person is new to Emory University,
    you still need to do a search to be sure theyre
    not in the database.

  • Enter any information that you have on the person
    and click Search (Pressing Enter will not
    work)

  • Search results will show everyone who has an
    existing request, open or closed.
  • If the person is on the list, you can either view
    request detail or create an new request.
  • If the person is not on the list, click Match
    not found create new record.

  • Look up the CIP code for the appropriate field
  • Be sure to use a code with the XX.XXXX formation!
  • Choose the type of activity (research, teaching,
    both, other). If other, a box will appear for
    you enter a very brief description (ie
    observation).

CIP Code Search Tips!
  • There are hundreds of possible CIP codes to
    choose from, and it can be difficult to find the
    correct one. This is amplified by the fact the
    PS is case sensitive when you search by
    description.
  • Example Searching for chemistry would return
    Biochemistry, but not Chemistry. Likewise,
    searching for Chemistry would return Chemistry
    but not Biochemistry.
  • There are two options for making sure you see all
    the possible results
  • Search once with the first letter of your
    description capitalized, and once with it lower
    case.
  • OR, you can simply leave off the first letter.
    Searching for hemistry will return Chemistry
    AND Biochemistry.
  • Be sure to change the drop-down box next to
    Description from Begins with to Contains.
    Do not try to use the CIP Code and Alternative
    CIP Code boxes unless you already know the code!

    lookup box to choose from the list. The same
    search suggestions apply here as for the CIP code
    searches since the search is case sensitive.
  • Enter site(s) of activity. You may enter more
    than one.

Notes/Submission
  • Indicate if you would like us to use FedEx to
    file the petition. If so, provide the
    departmental billing number.
  • Click Submit to ISSP to send the request to
    ISSP. On the confirmation screen, click Yes -
    Submit.
  • Be sure to click Save before you leave the page!

  • Click Generate DRF and Generate Compliance
    Form to create the hard copies of your
    submission.
  • Attach these to the supporting documentation
    before sending to ISSP.
