Hardware
  • Only mention hardware relevant to the solution.
    Eg scanner or colour printer to
  • produce a leaflet, Digital Camera for photos etc

    your newsletter? (scanner? digital camera?)
  • What type of printer will be needed? What are
    available? Laser Jet, Inkjet or Dot Matrix? Which
    is best and why?

  • Identify what output you will be producing. Eg is
    it a printout or screen output
  • as a form.
  • State whether there where any other forms of
    output you could have used.
  • Describe the document you are aiming to produce.
    Explain the reasons behind your decisions.
  • What size (A3, A4, A5..)? How many pages?
  • Which page orientation (portrait or
    landscape)? Headers/footers?
  • What type of illustrations (clip art, scanned
    images)?
  • How many columns
  • Colour or black and white?
  • Make a list of the sections (sub-headings) you
    plan to split your user guide into.
  • Make a list of the screen snapshots you plan to
    take to illustrate your user guide.
  • Make a list of any other graphics (clip art,
    photos..) you plan to include on your user
    guide.
  • What alternatives are there ie shared documents.

  • Give specific details of where your pictures come
    from.
  • Identify any checking that will take place as the
    information is entered.
  • Identify any lists of info you will need eg list
    of headings/categories/screenshots
  • Give details of any formatting that will take
    place on the output.
  • Eg Font sizes, no of pages,hyperlinks,etc Styles
    to be used
  • How will you obtain the information you need to
    produce the text needed on your Newsletter? How
    will this text be entered into the DTP package?
    (directly typed into DTP package, typed into word
    processing package and then imported, scanned??)
  • How will you obtain the screen snapshots and
    other graphics you want to use?

    before you can use them? (scaled? cropped?) What
    software will you use for this?
  • Make a list of the changes that will need to be
    made to the text once it has been input. (Fonts?
    text sizes? Why use paragraph styles rather than
    change font/text size separately?)

  • What comes out of the computer.

Backup Strategy
  • What have you chosen/why that media/instructions
    to the user for any back up
  • eg when to back up. How often will a backup
    copy of your user guide need to be taken?
  • Why do you need to backup your work?
  • Why this often?
  • How big (Kb/Mb) is your user guide likely to be?
  • What media (floppy disk, CD R/W, memory card..)
    will you use for this backup?
  • How long will the backup process take? seconds?
    minutes? hours? overnight?

  • Do you need to consider the Data Protection Act.
