Introduction
  • This presentation will discuss the issues with
    the current backup procedure and how this
    procedure has changed recently. We will also
    compare and describe Backup and Archiving
    procedures.

Definition of Backup
  • Backup A service providing regularly scheduled
    copies of data on administrative computing
    devices for the purpose of data recovery in case
    of hardware or software system failure.
  • Backup also provides recovery in case of
    accidental deletion or file corruption.

Definition of Archive
  • Archiving A procedure for providing long-term
    storage of data that must be retained for
    historic or legal purposes.

Characteristics of Archived Information
  • A copy of information/data that is not able to be
    modified, usually viewed in its original state.
  • Usually applies to a specific point in time, i.e.
    end of fiscal year.
  • Files retained for legal purposes.
  • Usually retained for a specific measure of time,
    i.e must keep for seven years, then it can be
    destroyed.
  • Is NOT used to recover information/data in time
    of system or equipment failure.

Details of Archive Services
  • Not a service provided by ITaP.
  • Department and/or user is responsible for
    determining
  • What needs archiving.
  • Method of archiving.
  • Retention period.
  • See zone manager for advice.

Who are you going to call?
  • Backup file recovery
  • You will need to contact your Zone Support Staff
    and provide them with
  • Path and name of the file.
  • Last known date of good file.
  • When the file was last changed.
  • Your email address.
  • Your Zone Support Staff will forward your request
    to ITaP Customer Service.
  • After ITaP has recovered your file (generally
    within 2 business days), they will contact your
    Zone Support Staff. You will be notified by the
    zone when the file has been recovered.

Who are you going to call?
  • Archive and LAN Space Management
  • Contact Zone for support with data archiving and
    information on LAN, email, and hard drive space
    issues.

Summary
  • Since the backup retention period is 35 days,
    more responsibility falls on the department/user
    to consider other means of file storage.
  • Archiving will provide the department/user
    options for critical systems/file storage for an
    indefinite period of time.
  • As always, it is important to keep LAN space
    clean of unneeded files and email.
  • Contact your Zone Support Staff with any concerns
    about these issues.
