PRS Tutorial for Institutions Submitting Program
Reports

  • To get started you will need to follow these
    steps
  • Step 1. Go to the URL http//aims.ncate.org
  • Step 2. Enter the institution ID
  • Step 3. Enter the institution password
  • Sent via email to NCATE Coordinator and Dean

  • (far left column) to begin entering information
    on-line
  • System alerts you to deadline dates

  • Although individual SPA standards differ, the
    on-line format will be the same across SPAs

  • The program report consists of 5 sections for
    initial submissions
  • Sections 1, 2,3,and 5 will be entered on-line
    with a few areas that call for attachments.
  • Section 4 (the assessment, scoring guide, and
    data) will call for you to attach the relevant
    documentation on-line

  • Section 6 is only used for revised reports
    and/or response to conditions reports

  • Some SPAs may call for an additional attachment
    in Section I-- the form will include a place for
    the attachment in this case
  • Also, additional graphics and tables (for Section
    I responses) must be in the form of attachments
    as welland placed in the response to question 7
    in Section 1

Preparing Revised and Response to Conditions
Reports
  • Only necessary to input text in Cover Sheet and
    Section VI, unless necessary to respond to items
    raised in recognition report
  • Section VI
  • Narrative that describes changes since receiving
    recognition report
  • Character limit is 24,000
  • Any tables, charts, graphs must be attached in
    earlier sections of the report

  • If changes have been made to Assessment 3
  • Note these changes in text in Section VI
  • Attach documentation of changes (e.g. new
    assessment description, new scoring guide, and/or
    new data chart) in Section IV, Assessment 3.
  • If just submitting additional data for Assessment

  • Note the addition in text in Section VI
  • Attach data chart in Section IV, Assessment 5

  • Program Reviewers will have access to original
    program report(s) and original recognition
    report(s)
  • A Response to Conditions Report should only
    address those items listed as Conditions in Part
    G of the recognition report
  • All standards listed as met in the earlier
    recognition report, will continue to be met. The
    only exception would be if an assessment used to
    meet standard in original submission is
    eliminated or completely changed

PRS
(download option available when you log-in to PRS)

Some items to note
  • You will be able to print out a draft version of
    your report before you submit it. Click on the
    draft icon and a pdf version of your current
    document will be created.
  • You may cut and paste from a word document into
    PRS. Some users indicated that it is helpful to
    keep both windows open (the word document and
    PRS) and toggle between the two
  • PRS does not have spell check! (But try using
    Mozilla Firefox as your browser)

Other helpful tips
  • The little floating disk icon allows you to save
    your report and come back to it
  • Do not use the arrows on your browser, simply use
    the floating arrows or the previous and next
    tabs in PRS at the bottom of the page
  • You may delete an attached file prior to
    submission (see PRS Demo)
  • All graphics and tables must be in attachments
  • No hyperlinks please
  • 2 MB limit per individual upload
  • Attached files are accepted in doc, xls, pdf, txt
    formats will not accept docx

  • Combine attachments into single documents as much
    as possible
  • We only allow 20 attachments (total) per report
  • Name the files using the names listed in the
    document How to Prepare Program Reports for
    Submission in Fall 2008 on the NCATE web site
